Job Overview
We are seeking a motivated Operations Assistant to support our emergency vehicle upfitting projects, specifically focusing on installing lights and sirens. This paid position offers an exciting opportunity to be part of a dynamic team that ensures emergency vehicles are equipped with essential safety features efficiently and accurately. The ideal candidate will be organized, detail-oriented, and eager to contribute to a fast-paced, technical environment.

Duties

Customer Intake (Vehicle Check-In/Out)

  • Greet customers and document incoming vehicles
  • Ensure proper intake procedure is followed every time

Customer Coordination

  • Answer phone calls and manage email correspondence
  • Keep customers informed by communicating status updates clearly and proactively
  • Follow up on approvals, scheduling, and deliveries

Receiving & Inventory Support

  • Receive, verify, and organize incoming packages
  • Maintain clean and structured inventory areas

Invoicing & Documentation

  • Prepare invoices and ensure accuracy before sending
  • Assist with job documentation and recordkeeping

Purchasing

  • Order parts and materials as needed

Additional tasks may be assigned.

Requirements

  • Prior experience in administrative roles related to personal assistance, office and operations support is advantageous
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Excellent organizational skills with keen attention to detail and accuracy
  • Experience with bookkeeping or QuickBooks is a plus for managing invoices and expenses
  • Bilingual abilities are a plus
  • Familiarity with multi-line phone systems, phone etiquette, and customer service best practices
  • Ability to handle clerical tasks such as filing, data entry, proofreading, and calendar management efficiently
  • Ability to support shop operations
