Customer Service & Administrative Support

Reports to: Customer Service Manager

Start Date: ASAP

Job Summary:

This position plays a key role in supporting both our customer relationships and internal operations. Serving as a point of contact within our customer service team, this individual will engage with our unique customer base and maintain a strong focus on providing timely, knowledgeable, and professional customer support.

In addition to assisting with customer communication, this role is responsible for a variety of essential administrative functions, including shipment processing, document and data collection, order processing, sales support initiatives, and other miscellaneous duties as assigned.

This is an excellent opportunity for someone who enjoys balancing detail oriented administrative work with customer interaction in a fast paced wholesale environment. The right candidate will become a central part of our day to day operations, helping ensure orders move efficiently, shipments arrive on time, and customers receive the responsive service they rely on.

Minimum Qualifications:

  • Experience in customer service, preferably within a B2B environment
  • Strong written and verbal communication skills, with the ability to balance customer service responsibilities alongside administrative demands
  • Experience with administrative functions such as data entry, order processing, invoicing, filing, data collection or similar office support tasks; shipping and logistics-related administrative experience is a plus
  • Basic computer proficiency, including email communication and organization, Microsoft Office/Google Workspace functions, and general office systems navigation
  • Proficiency in Excel/spreadsheets required, including the ability to accurately enter, read, interpret, and manipulate data efficiently
  • Familiarity with e-commerce and/or integrated shipping platforms is a plus
  • Basic arithmetic skills
  • Strong attention to detail, accuracy, and organization
  • Ability to manage multiple tasks, shift priorities, and respond to changing business needs
  • Ability to perform repetitive tasks in an efficient, timely, and accurate manner
  • Strong critical thinking, problem-solving, and independent decision-making skills

Preferred Skills:

  • Comfort with shipping and receiving processes, including pallet jack and forklift operation
  • Familiarity with logistics and basic freight/shipping workflows
  • Familiarity with vendor relationships
  • Ability to collect, organize, and interpret data accurately
  • QuickBooks experience (or similar accounting/invoicing systems) is a plus
  • Interest in agriculture, wholesale operations, logistics, or mycology is a plus

Job Type: Full-time

Schedule: Monday to Friday, 8 AM-4 PM

Work Location: On-site in Gardiner & Lewiston
