We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! You will serve as the first point of contact, managing front desk responsibilities, handling multi-line phone systems, and supporting various office management tasks. Responsibilities
- Greet visitors warmly and professionally, ensuring a positive first impression for all who enter the office
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Maintain a clean, organized front desk area and manage incoming correspondence, including emails and mail
- Schedule appointments, coordinate calendar management, and assist with meeting arrangements
- Perform data entry, filing, and document proofreading to support administrative operations
- Support office management activities such as supply inventory, filing systems, and record keeping
- Provide exceptional customer service by responding promptly to inquiries and supporting client needs
- Assist with bookkeeping tasks including basic bookkeeping and invoice processing as needed
- Handle confidential information with discretion and professionalism
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with attention to detail for proofreading and data entry tasks
- Previous experience in customer service or front desk roles preferred
- Ability to manage time efficiently and prioritize tasks effectively in a fast-paced environment
- Office management experience including calendar management or personal assistant responsibilities is advantageous
