Paralegal & Office Administrator Jobs in San Francisco, CA at BPT Staffing

About the Firm

We are a boutique litigation law firm located in San Francisco. We are a small, collaborative team focused on executive and founder disputes and high-stakes litigation. Every member of our team is essential to our daily success and the service we provide to our clients.

The Role

This position is ideal for a proactive individual who exercises independent judgment and can reliably manage both complex litigation (70%) and the daily operations of a boutique law firm (30%). This dual-purpose role combines high-level support for our attorneys with essential office administration and billing coordination.

Key Responsibilities

Litigation Support & Paralegal Duties:

  • Provide comprehensive support to firm attorneys, including drafting, proofreading, and managing litigation documents (pleadings, motions, and discovery).
  • Maintain proficiency in Bluebooking and electronic court filing (e-filing) across both state and federal courts.
  • Responsible for the firm’s calendaring and docketing; utilizing deadlines.com to ensure all court deadlines are captured and that attorneys are prepared to meet filing standards.
  • Conduct legal research and maintain meticulously organized digital and physical case files.

Office Administration:

  • Manage all incoming and outgoing mail and legal deliveries.
  • Serve as the primary point of contact for firm vendors and process vendor payments.
  • Oversee general office organization and administrative needs for our San Francisco suite.
  • Oversee internal bookkeeper.

Billing Coordination:

  • Lead the firm’s monthly billing process using Clio, ensuring all attorney time and expenses are ready for invoicing.
  • Overseeing submission of payroll.
  • Specifically responsible for auditing and entering all third-party costs and disbursements into Clio each month to ensure accurate client pass-through billing.
  • Coordinate with the firm’s outside bookkeeper to provide necessary documentation; light familiarity with QuickBooks Online is helpful, but deep technical knowledge is not required.

Requirements & Qualifications

Experience: Minimum of 2 years of experience as a paralegal, preferably within a litigation environment.

Software Proficiency:

  • Experience with Clio (or similar legal practice management software) is highly preferred.
  • Familiarity with deadlines.com or similar rules-based calendaring software is a significant plus.
  • Experience with document review platforms such as Everlaw is a plus.
  • Basic comfort with QuickBooks Online to assist our outside bookkeeper as needed.

Technical Skills: Strong proficiency in Microsoft Office and legal document management.

Personal Attributes:

  • Judgment & Demeanor: Sound independent judgment is essential. We operate in a high-stress, high-stakes environment that requires a professional who maintains a pleasant, cooperative, and steady demeanor under pressure.
  • Operational Skills: Exceptional attention to detail, strong communication skills, and the ability to work independently within a small-team setting.

Availability: This is an in-person role. Candidates must be available to work at our San Francisco office during regular business hours.
