Prestini is seeking a highly organized, dependable, and detail-oriented Executive Operations Assistant to work directly with ownership and support daily office and operational activities.

This position combines office administration, inventory, order coordination, customer communication, and e-commerce support. The ideal candidate is proactive, professional, comfortable learning new systems, and capable of balancing administrative responsibilities with hands-on operational tasks.

This is a growth-oriented position with the opportunity to assume greater responsibility over time.

Key Responsibilities:

Executive & Administrative Support

  • Work directly with ownership to support daily business operations and special projects
  • Answer incoming phone calls and professionally assist customers, vendors, and business partners
  • Respond to emails and general business correspondence
  • Maintain organized records, files, documents, and office systems
  • Coordinate communication with vendors, contractors, customers, and internal departments

Inventory & Order Operations

  • Monitor and maintain accurate inventory records
  • Count, verify, organize, and reconcile inventory as needed
  • Pull, sort, verify, and prepare customer orders accurately
  • Assist with order processing, fulfillment coordination, and shipping documentation
  • Investigate and report inventory discrepancies

E-commerce & Customer Support

  • Assist with product listings, updates, and online store maintenance
  • Monitor customer orders and order status
  • Communicate with customers regarding orders, product questions, shipping updates, and account inquiries
  • Help ensure accurate product and inventory information across sales channels

Operational Coordination

  • Work closely with supervisors across office, production, shipping, and warehouse operations
  • Help track priorities, deadlines, customer commitments, and operational follow-through
  • Escalate issues or discrepancies to ownership when needed
  • Identify opportunities to improve organization, efficiency, and workflow

Qualifications

  • 2+ years of office, administrative, operations, customer service, inventory, or related experience preferred
  • Strong organizational skills and attention to detail
  • Strong verbal and written communication skills
  • Ability to prioritize tasks and work independently in a fast-paced environment
  • Comfortable learning business systems, inventory systems, and software platforms
  • Experience with Microsoft Excel, Outlook, Word, and general computer systems required
  • Experience with Sage Accounting or similar accounting/ERP software is a plus
  • Bilingual English/Spanish preferred
  • Experience in manufacturing, inventory, e-commerce, or logistics environments is a plus

Pay: $17.00 – $21.00 per hour
