Overview
We are seeking a highly organized and proactive Executive Assistant/Project Manager to join our dynamic team. This role is vital in providing comprehensive administrative support to the CEO while managing multiple projects to ensure seamless operations. Duties
- Provide executive administrative support, including calendar management, scheduling meetings, and coordinating appointments using tools such as Mac Programs and Google Workspace.
- Manage correspondence via multi-line phone systems, email, and other communication channels with professionalism and courtesy.
- Assist with event/project planning with sales, service, warehouse and marketing.
- Oversee office management tasks such as filing, data entry, maintaining office supplies, and ensuring a professional presence.
- Support bookkeeping by performing basic bookkeeping duties including invoicing, expense tracking, and reconciling accounts as needed.
- Prepare documents through proofreading, transcription, and document formatting using MAC applications.
- Facilitate project coordination by tracking deadlines, preparing reports, and ensuring timely completion of assigned tasks.
- Utilize office software such as various MAC/Apple programs and Google Workspace for daily operations and document management.
- Track project timelines and company metrics
- Handle confidential information with discretion while maintaining accuracy in data entry and clerical tasks.
- Support personal assistant duties as needed, including travel arrangements and personal scheduling.
- Ensure that tasks and commitments stay on track and are completed
- Prepare and deliver weekly reports/updates to leadership ( CEO )
Experience
- Minimum of five years’ experience in executive administrative support or office management roles.
- Proven experience in project coordination with the ability to manage multiple priorities simultaneously.
- Demonstrated proficiency with MAC/Apple/ Google computers and applications.
- Strong organizational skills with attention to detail and accuracy across all tasks.
- Excellent typing speed combined with proficient use of MAC/Apple and Google Workspace tools.
- Prior experience handling front desk responsibilities and multi-line phone systems.
- Knowledge of office procedures such as filing systems, data entry, proofreading, transcription, and customer service best practices.
- Familiarity with office software including DocuSign for electronic signatures and other communication apps is preferred.
- Exceptional communication skills with professional phone etiquette and interpersonal abilities. Pay: $32.00 – $40.00 per hour
