Job Summary
We are seeking highly organized Office Administrator to join our team! In this role, you will be involved with daily operations, ensuring that administrative functions run smoothly and efficiently. Shop repair admin responsibilities with maintenance scheduling, vendor coordination, work order documentation, and inventory tracking to ensure uninterrupted operations. They often act as the liaison between the service department and assist handling billing.
Responsibilities:
- Work Order Management: Assisting with creating, tracking, and updating repair orders, including documenting cause and correction actions.
- Vendor & Facility Coordination: Scheduling repairs for office equipment or, in automotive/repair environments, managing vehicle intake and technician scheduling.
- Parts & Inventory Tracking: Researching, ordering, and maintaining inventory levels for necessary parts or tools, ensuring technicians have required supplies.
- Communication & Customer Support: Answering inquiries, scheduling repairs, and informing customers of service status, such as vehicle repair completion.
- Documentation & Record Keeping: Maintaining accurate service records, filing, and processing invoicing or payments for repair services.
- Maintain accurate bookkeeping records: Using QuickBooks, and assist with budgeting to support financial health.
- Organize filing systems: both digital and physical—and ensure all documentation complies with company policies and legal standards.
- Support human resources functions such as new employees, managing employee records, and assisting with HR-related inquiries.
Skills
- Proven experience in office management, administrative support, or clerical roles within a professional environment.
- Strong computer skills
- Exceptional organizational skills with keen attention to detail in scheduling, filing, and record keeping.
- Proficiency in QuickBooks for bookkeeping; familiarity with budgeting is a plus.
- Experience in event planning and coordinating company meetings..
- Supervising experience demonstrating leadership in managing teams or projects.
- Knowledge of human resources procedures including onboarding, training & development initiatives.
Pay: $24.00 – $30.00 per hour
