Overview

The Executive Assistant will provide high-level administrative support to the Dean of University Libraries by performing project management, calendaring, communication duties, and management of the Libraries administrative office. The Executive Assistant conveys a professional and welcoming environment incorporating the values of the university and Libraries.

Responsibilities

  • Manage the Dean’s office, administer the Dean’s schedule, and coordinate communications from the Dean’s office to the Libraries and university.
  • Supervise staff and student employees in support of the Libraries’ administration office reception and office functions (1 FTE classified staff and up to 4 student employees).
  • Coordinate with all staff in the Libraries administrative office areas to ensure office functions are properly supported.
  • Support clerical and administrative tasks for the Libraries’ Associate Dean, Academic and Administrative Directors.
  • Participate in senior level administrative meetings and support donor stewardship and cultivation.
  • Schedule meetings and create meeting minutes for the Dean’s and library-wide meetings.
  • Update the Libraries’ staff Google site and various internal documents from Libraries’ Administration.
  • Coordinate academic faculty evaluative processes including annual evaluations, merit, promotion & tenure, and outside activity request approvals per NSHE Handbook, UNLV bylaws, and Libraries Faculty bylaws.
  • Liaise with the Libraries Faculty Promotion and Tenure Committee and UNLV Faculty Affairs to ensure processes are managed and communicated with the Provost’s and President’s offices.

Minimum Qualifications

  • Bachelor’s Degree from an accredited college or university and 5 years of comparable experience in an academic environment (credentials must be obtained prior to start date).
  • Competence and sensitivity in working with diverse individuals across identity facets (gender, ethnicity, nationality, sexual orientation, ability, income, education, religion).
  • Exceptional interpersonal, written, and verbal communication skills with strong customer service orientation.
  • Minimum of one year of supervisory experience.
  • Strong organizational skills with experience managing complex projects and prioritizing tasks; ability to work autonomously with multiple responsibilities.
  • Critical thinking and problem-solving skills to analyze information and formulate solutions.
  • Familiarity with the mission and services of academic institutions.
  • Attention to detail and commitment to accuracy; ability to exercise sound judgment and discretion with confidential information.
  • Ability to develop and cultivate strong collaborative relationships within the library and institution.
  • Proficiency with computer programs such as Excel, Word, and Google Workspace.

Preferred Qualifications

  • Knowledge of higher education organization, governance, and structures.

Salary and Benefits

This is a full-time, 12-month, Administrative Faculty position at a Grade

B. Minimum salary is $70,000. Salary is competitive with similarly situated institutions and dependent upon labor market.
