Corporate Assistant
We are looking for a proactive and detail-driven Corporate Assistant to provide essential administrative and organisational support to our client’s corporate team. In this role, you’ll ensure the smooth management of legal and governance documentation, maintain accurate company records, and contribute to the seamless execution of internal processes and projects.
Key responsibilities
- Coordinate the preparation, circulation, and completion of company documents and contracts.
- Maintain and update corporate files, databases, and digital archives to ensure accuracy and compliance.
- Manage Know Your Customer (KYC) and Anti-Money Laundering (AML) documentation, including FATCA and CRS requirements.
- Prepare and monitor various administrative and banking forms, ensuring timely completion and proper recordkeeping.
- Keep statutory registers and company information current across all internal platforms and regulatory systems.
- Handle legal, tax, and administrative correspondence, including incoming and outgoing communications.
- Support the organisation of board meetings by coordinating schedules, compiling meeting materials, and ensuring proper documentation.
- Provide assistance with internal initiatives and day-to-day corporate operations as needed.
Your profile
- Bachelor’s degree in Law, Finance, Economics, or another relevant discipline.
- 2–3 years of experience in a corporate, legal, or fiduciary environment in Luxembourg—ideally within an investment firm, law office, or corporate services provider.
- Excellent command of English, both written and spoken; proficiency in French or other languages is a strong advantage.
- Solid understanding of corporate governance and regulatory documentation requirements.
- Highly organised, dependable, and attentive to detail, with strong communication and multitasking abilities.
- Discreet and professional, capable of handling sensitive information with integrity and confidence.
- Comfortable working with Microsoft Office tools (especially Outlook and Word) and open to adopting new technologies to enhance efficiency.
