Summary
Leisure World Community Association is seeking an Executive Assistant who works closely with the CEO. The Executive Assistant performs operational and administrative details and performs functions that require thorough knowledge of policies, procedures, and operations. The Executive Assistant has recurring contact with members of the Board of Directors, residents, and staff. This role exercises initiative and independent judgment in managing the CEO’s schedule and daily activities in administration.
Responsibilities/Duties
- Prepares correspondence for approval and distribution. Checks documents for completeness and accuracy.
- Ensures that homeowners, visitors, vendors, staff, and job applicants receive excellent customer service in all interactions with the department.
- Exercises independent judgment and decision-making skills daily.
- Works with association management to establish overall objectives regarding production, quality, and staff development. Monitors progress of objectives and ensures they are met.
- Facilitates the efficient use of the CEO’s time through development and coordination of calendar appointments, meetings, and association functions with individuals and groups.
- Refers inquiries or problems to the appropriate department or person. Resolves problems and follows up to determine satisfaction with response.
- Serves as a liaison between the CEO and members of the Board of Directors, residents, staff, and vendors by gathering the appropriate information for the CEO.
- Safeguards the confidentiality of association information, ensuring discretion in the dissemination of material.
- Provides information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organizing and presenting the information in useable and understandable formats.
- Maintains official records of the members of the Leisure World community.
- Manages and leads the front desk reception staff.
- Serves as the eyes and ears of the CEO, and works side by side with them on confidential matters.

Requirements
- Bachelor’s degree preferred.
- Good working knowledge and proficiency in Word, Excel, and PowerPoint.
- A minimum of 3 years’ experience in an administrative role.
- Supervisory experience is a plus.
- Excellent oral and written communication skills.
- Valid Arizona driver’s license, or ability to obtain before employment.
- Excellent decision-making and problem-solving skills
- Highly proficient in working independently.
- Great customer service skills.
