As a Patient Care Coordinator at Rising Stars Pediatric Dentistry, you play a crucial role in ensuring the smooth and efficient operation of the dental practice. You will be responsible for handling various administrative tasks, with a strong emphasis on phone skills, insurance verification, billing, and promptly following up on new patient leads. Your exceptional communication and organizational abilities will help create a positive patient experience and contribute to the overall success of the dental office.

Key Responsibilities:

1. Patient Reception and Communication:

  • Greet patients warmly and professionally as they enter the office.
  • Answer phone calls promptly and courteously, addressing inquiries and scheduling appointments.
  • Provide clear and accurate information to patients regarding appointments, procedures, and financial matters.
  • Ensure efficient patient flow within the office, minimizing wait times.

2. Insurance Verification:

  • Verify insurance information for patients, including coverage, copays, deductibles, and any pre-authorization requirements.
  • Communicate insurance details to patients, explaining their financial responsibilities.

3. New Patient Lead Management:

  • Respond quickly to new patient inquiries via phone, text, email, or other communication channels.
  • Collect and record essential patient information during initial contact, including insurance details.
  • Schedule new patient appointments in a timely manner, considering their preferences and availability.

4. Appointment Scheduling:

  • Efficiently manage the appointment book, ensuring optimal scheduling for both patients and the dental team.
  • Confirm upcoming appointments with patients through phone calls or automated systems.
  • Reschedule appointments when necessary and maintain accurate records of changes.

5. Billing and Financial Management:

  • Process patient payments and balances accurately.
  • Educate patients on financial policies and available payment options.
  • Collaborate with the billing department to address any billing-related concerns or disputes.

6. Administrative Tasks:

  • Maintain patient records, ensuring they are accurate and up-to-date.
  • Manage the waiting area to ensure a clean, organized, and comfortable environment for patients.
  • Assist with administrative duties such as filing, data entry, and ordering office supplies.

7. Compliance and HIPAA:

  • Adhere to all relevant privacy and security regulations, including HIPAA.
  • Safeguard patient confidentiality and protect sensitive information.

Qualifications:

  • High school diploma or equivalent; additional education or dental office training is a plus.
  • Previous experience in a dental front office or similar administrative role is preferred.
  • Proficiency in using dental practice management software and Google Docs.
  • Excellent interpersonal and communication skills, with a friendly and empathetic demeanor.
  • Strong organizational skills and attention to detail.
  • Ability to multitask effectively in a fast-paced environment.
  • Knowledge of dental insurance policies and procedures is an asset.
  • Bilingual in Spanish

Job Type: Full-time

Pay: $15.00 – $18.00 per hour
