Peak Family Medicine is seeking a part-time Administrative Assistant to support administrative operations for Peak Wellness Center memberships, employer-sponsored services, compounding pharmacy coordination, billing accuracy, vendor invoice review, and general practice administration.

This position is best suited for someone who is organized, detail-oriented, professional, and comfortable managing follow-up tasks, payment-related workflows, spreadsheets, invoices, and communication with members, employers, brokers, vendors, pharmacy partners, and internal staff.

Key Responsibilities

Manage Peak Wellness Center member additions, removals, cancellations, and roster updates.

Follow up with members, employers, and brokers regarding membership needs, eligibility, payments, and service coordination.

Assist with coordination of employer-sponsored membership and wellness services.

Coordinate administrative aspects of compounding pharmacy medication orders, including order tracking, payment issues, logistics, and follow-up.

Review membership charges for accuracy.

Assist with credit card dispute documentation and resolution.

Review lab, pharmacy, and vendor invoices for accuracy.

Identify services where member cost-share should have been collected and flag discrepancies.

Maintain accurate spreadsheets, trackers, records, and administrative workflows.

Provide general administrative support to practice leadership and staff.

This is an administrative role. It does not include medical advice, clinical triage, medication counseling, lab interpretation, or clinical decision-making.

Required Qualifications

Strong attention to detail.

Professional communication skills by phone, email, and in person.

Strong organization and follow-up skills.

Comfort using spreadsheets, email, payment systems, and office software.

Ability to manage recurring administrative workflows accurately.

Ability to handle confidential information appropriately.

Ability to work independently and escalate issues when needed.

Preferred Qualifications

Medical office experience.

Billing, payment reconciliation, or invoice review experience.

Membership, customer service, or employer account coordination experience.

Experience with credit card disputes or payment follow-up.

Experience with compounding pharmacy, lab, vendor, or healthcare administrative workflows.

Physical Demands and Work Environment

This position is performed primarily in a professional medical office environment. The employee will regularly sit, stand, walk, talk, hear, type, use a computer, review documents, and communicate by phone, email, and in person. The employee may occasionally lift, carry, push, or pull office supplies or equipment up to approximately 25 pounds.

The work environment includes frequent use of computers, phones, printers, scanners, payment systems, and office equipment. The role may involve interruptions, competing priorities, confidential information, payment-related questions, and interaction with patients, members, employers, brokers, vendors, and staff.
