JOB SUMMARY:

This position will greet patients and visitors to our medical office. Answer questions and provide assistance and directions, when necessary, in person or on the telephone. Will capture all co-pays, deposits and outstanding balances. Position requires utilization of clinical knowledge to schedule appropriate appointments and procedures per provider’s orders. Also requires excellent customer service skills with patients, employees, and the public. The Patient Reception position must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. Individual must be organized and be able to manage demanding workload with accuracy and interruptions.

DUTIES AND RESPONSIBILITIES:

  • Opens the front office daily
  • Welcomes patients and visitors
  • Ensures that the waiting room environment remains quiet, calm and optimal to for a welcoming environment
  • Optimizes patients’ satisfaction with clear expectations of paperwork, timeliness of appointment and financial responsibilities
  • Triages all walk ins
  • Keeps patient appointment on schedule by notifying clinical staff of patient’s arrival and any delays
  • Ensures availability of treatment information by filing and retrieving patient records
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information
  • Closes and reconciles daily batches
  • Scans all paper charts and referrals to scan drive
  • Files all referrals to appropriate charts
  • Verify all insurance and update information needed
  • Phone Back up
  • Routes all incoming foot traffic accordingly

EDUCATION & EXPERIENCE:

· Minimum of a High School Diploma and 3-5 years of experience in medical front office, or equivalent combination of education and experience

· Familiarity with Practice Management and EHR System

· Strong computer skills. Familiar with Excel, Word, and Windows

· HIPAA/Confidentiality

· Knowledge of medical terminology and familiarity with medical diagnostic procedures, and health care billing and authorization is required

QUALIFICATIONS & REQUIREMENTS:

· Must demonstrate consistent professional conduct and meticulous attention to detail

· Must possess excellent verbal and written communication skills as well as interpersonal skills with patients, staff, and other healthcare professionals

· Critical thinking skills and a positive attitude essential

· Ability to organize work and follow through on own initiative

· Must be able to multi-task and prioritize in a high volume workflow
