Job Summary
BDC is looking for an Admisnistration Executive (Critical Operations) to be based in our Chonburi Data Centre. This role is responsible for the delivery of all administrative works required by Critical Operation that includes filing and photocopying, develop reports, administration of critical operations software (e.g. CMMS), prepare and issuance of MEMO/email notification, liaison with customer/tenant, establish and maintain good filing system (both soft & hard copy), prepare work order and monitoring work orders action status. The work requires strong formal conduct of operations skills, technical expertise, personal accountability, and flawless execution of work activities commensurate within a highly critical environment.
Responsibilities:
- Ensure all documents are properly indexed, filed (Dropbox/Internal Drive), and updated to the latest versions, including archiving obsolete files for audit readiness (ISO, ISMS, PCI-DSS).
- Prepare, review, and submit monthly customer reports by strict deadlines and generate specialized operational reports using CMMS.
- Act as the primary point of contact for customers/tenants, managing memos, circulars, change control forms, and escalating urgent complaints to management.
- Schedule and track monthly internal and customer meetings, ensuring minutes are accurately documented and filed.
- Liaise with procurement to track purchase requests/orders, perform first-level budget analysis, and ensure data accuracy before approval.
- Manage the CMMS platform, including uploading work plans, 52-week preventive maintenance programs, and technician duty rosters.
- Issue and track work orders (ticketing), monitor their status, and compile progress reports for the Lead Engineer.
- Monitor spare part stock levels, tracking inventory to ensure replenishment before reaching minimum thresholds.
- Maintain staff leave records, update shift rosters, manage outgoing mail/special deliveries, and handle general clerical tasks like photocopying.
- Lead hazard identification and risk control efforts while maintaining the effectiveness of ISO9001, ISO14001, and ISO45001 management systems.
Requirements:
- Proficient in English through all mediums of communication. Ability to write and review good quality detailed work scripts, methods of procedure, and standard operating procedures. Prepare monthly service report and incident report.
- Bachelor degree in Business Administration or Business Management or equivalent from a recognized education Institution or University.
- Minimum work 2 to 3 years of experience in similar work nature prior Office Management Experience Preferred.
- Strong Attention to Detail and ability to Work Without Supervision.
- Excellent Time Management Skills.
- Exceptional Communication in English and Customer Service Skills.
- Administration Skills, including Proficiency in computer applications and software, including commercial computerized maintenance management systems, work order management system, Microsoft Word, PowerPoint, and Excel.
- Strong Prioritization and Organization Skills.
- Ability to Handle Confidential Information; Strong Record Keeping Skills; Ability to Multitask.
