Position Summary

We are seeking a Mailroom/Accounting Clerk to join our team at Zarzaur & Schwartz, P.C. In this dual-role position, you will be responsible for managing mailroom operations while also supporting our accounting functions. You will play a critical part in keeping our firm running efficiently — from processing incoming and outgoing mail and scanning documents into our collections system, to managing financial records and supporting our legal collections efforts. Your contributions will directly impact our ability to provide exceptional service to our clients and uphold our firm’s core values.

ResponsibilitiesMailroom Duties

  • Open, sort, and identify incoming mail and documents accurately
  • Scan and index documents into the firm’s collections system
  • Prepare and process outgoing mail in a timely manner
  • Maintain compliance standards in all mailroom operations
  • Identify and resolve mailroom issues using sound judgment and training
  • Prioritize tasks to meet daily volume and deadlines in a fast-paced environment

Accounting Duties

  • Process daily tasks including invoices, checks, and deposits
  • Manage daily reconciliations with accuracy and attention to detail
  • Help manage accounts receivable functions
  • Collaborate with the accounting team and other firm departments
  • Improve processes through automation where applicable
  • Securely document and evaluate financial information and communicate observations and recommendations
  • Manage and meet all time-sensitive deadlines

RequirementsAccounting & Financial

  • Proven experience as an accounting clerk or similar role in a financial environment
  • Strong understanding of financial concepts and principles
  • Proficient in accounts payable processes and GAAP compliance
  • Familiarity with governmental accounting practices is a plus

General Requirements

  • High school diploma or GED certificate required
  • Familiar with the FDCPA, TCPA, SCRA, and FCRA
  • Excellent organizational skills with strong attention to detail
  • Able to follow instructions and make educated decisions based on training and job knowledge
  • Must be dependable, prompt, and professional at all times
  • Ability to multi-task and prioritize tasks to efficiently meet goals
  • Must be a self-starter able to manage multiple projects and meet deadlines
  • Able to pass a credit check, background check, and pre-employment drug test
  • Subject to randomly administered post-employment drug tests
  • Must complete an assessment test and pass continuing education evaluations
