The Role:
As a Workplace & Facilities Specialist, you will provide practical, people focused workplace support and work closely with colleagues and external partners to maintain a positive and accessible environment across sites. You will contribute to ensuring that the facilities run smoothly, safely and in line with organisational values. A significant part of this role involves collaborating with trusted external partners who deliver workplace services.
You will build strong, supportive working relationships with these providers and help ensure that services are delivered with a focus on quality, inclusion, value for money and colleague experience. These services include facilities management, security, catering and health & safety. You may also be involved in workplace and estate-related projects. You will play an important role in monitoring service effectiveness, identifying opportunities for improvement and ensuring that our practices remain compliant, accessible and aligned with our commitment to a positive workplace culture.
The Organisation maintains ISO 45001 (Occupational Health & Safety) and ISO 14001 (Environmental Management) accreditation. Working with their HSE Specialist, you will help to ensure these standards are upheld through activities such as audits, review and improvement initiatives. This role will suit someone who has a facilities, health & safety or vendor management background. The role is based in Belfast and is offered on a part time basis (2-3 days per week), with flexibility to adjust hours as needed.
Responsibilities Include:
Build positive day-to-day relationships with external partners providing workplace facilities, Health & Safety, security and catering services, supporting a high quality and inclusive colleague experience Contribute to the thoughtful, efficient and inclusive use of the workplace space as part of the modernisation programme Engage proactively with stakeholders to understand needs and help ensure onsite expectations are met Build and maintain strong, collaborative relationships across the organisation and with external partners Support effective vendor relationships, helping with the timely delivery of services within agreed budgets Follow agreed procurement to support fair, transparent and compliant activity, including monitoring timelines and assisting with procurement when required Help maintain a safe, accessible and legally compliant working environment, meeting all statutory fire, health and safety standards Support the implementation and review of building procedures and workplace performance measures Contribute to meeting Critical Environment Management (CEM) requirements across operational areas, including the data centre, communications rooms and Control Room Assist with workplace and estate related projects, collaborating with internal teams and suppliers Work with partners to identify opportunities for continuous improvement, cost effectiveness and enhanced standards Participate in occasional out-of-hours emergency call support and occasional onsite attendance when needed Support the property risk management…
