Veterinary Client Relations Specialist/ Receptionist — Role Overview is to be the primary point of contact between the veterinary practice and our clients. They are responsible for managing client relationships, ensuring positive patient experience, and facilitating smooth communication between pet owners and the veterinary team. Skills required for the position include: Communication Skills: Strong verbal, written, and nonverbal communication abilities. Customer Service: Ability to handle challenging interactions with professionalism. Veterinary Knowledge: Basic understanding of veterinary terminology and procedures. Computer Literacy: Proficiency in scheduling software, email, and office management systems. Empathy & Emotional Intelligence: Ability to connect with clients and support them through stressful situations. Teamwork: Collaborate with veterinarians, technicians, and administrative staff. Critical thinking: Ability to make educated decisions in appointment scheduling and adapt appropriately in scheduling worked in and non-emergent appointments. Core Responsibilities: Client Communication: Answer phone calls, respond to emails, handle client inquiries with empathy and manage the front desk with efficiency and professionalism. Facilitate communication between clients and veterinary staff to ensure clarity on treatment plans and follow-up Appointment Management: Schedule and confirm appointments, provide cost estimates, and manage payment processes. Patient Care Coordination: Liaise between clients and veterinary staff to ensure timely and appropriate care. Handle medical history and record collections accurately, ensuring smooth billing processes for veterinary services. Managing Medical Records: Ensuring records are organized and accessible- Printing and distributing documents such as lab results, X-rays, and other reports. Updating and filing patient charts. Customer Service Excellence: Build trust, manage expectations, and address concerns to improve client retention. Administrative Tasks: Maintain records, handle insurance information, and support scheduling and billing processes. Sensitive Situations: Provide compassionate support during difficult cases, such as end-of-life care or euthanasia. Hourly wage, benefits and other details can be discussed with hiring manager. Possibility or raises at 90 days and 6 months of employment. Raise guaranteed at 1 year or employment. Pay: $32,400.00 – $42,000.00 per year
