COMPENSATION

Hourly Pay Range: $25.839291 – $32.646873

Salary offers will be made within the posted pay range and will be based on candidates’ experience (paid or unpaid) that is directly relevant to the position.


JOB DETAILS AND QUALIFICATIONS

Clackamas County is hiring a Temporary Office Specialist 2 to support the Community Substance Abuse Program (CSAP) within our Health Centers Division. CSAP is a residential drug and alcohol treatment program operated by Clackamas County Community Corrections with therapy services provided by Clackamas County Health Centers.

CSAP is housed in an 80-bed facility in Milwaukie, Oregon, and provides residential services for individuals who are justice-involved as part of Clackamas County’s collaborative corrections and treatment efforts. The CSAP program offers recovery support services, skills training, individual and group counseling, evaluation and treatment. The overarching goal is to address the intersection of criminal behavior and substance use by reducing recidivism, improving stability, and supporting recovery.

This position assists the treatment team experiencing an increased workload and plays an essential role in helping clients access behavioral health services. Key responsibilities include performing a variety of administrative and clerical duties such as client registration, client check-in, scheduling client services, providing scheduling reminders, coordinating with primary care services, sorting mail, printing, organizing and copying letters and/or treatment paperwork for staff, engaging with clients directly, answering, screening, and routing phone calls, addressing in-person client questions, sorting and scanning paperwork, and tracking and organizing information. The Office Specialist 2 also assists with coordinating admissions paperwork and provides general support to ensure timely and accurate client service delivery within the CSAP center.

The ideal candidate will be detail-oriented, organized, comfortable engaging with clients and staff in a residential treatment setting, able to effectively solve problems in different situations, possess strong interpersonal skills, and able to manage multiple priorities in a fast-paced environment. This role is best suited for someone who values teamwork, provides excellent customer service, and maintains professionalism while handling sensitive and confidential information.


Roles and Responsibilities:

  • Registering new clients for behavioral health services, including verification of insurance benefits, entry of demographic and financial information, and scheduling of clients into the electronic medical record.
  • Checking in clients and verifying records and information, including demographic and insurance data. Collecting fees and completing receipts as needed.
  • Answering telephones, scheduling or documenting appointments, and providing information or assistance to clients, staff, or community partners.
  • Sending and receiving faxes on behalf of staff, sorting incoming correspondence, and distributing materials via fax, scan, or email.
  • Assembling intake packets and related materials, including resource cards and informational documents for clients seeking behavioral health services. Assisting clients in completing intake packets and organizing intake paperwork for staff.
  • Copying and preparing materials for treatment services or other staff needs, which may include troubleshooting copier or printer issues.
  • Taking client questions and helping address questions directly or identifying appropriate staff to address client questions.


Required Qualifications:

  • Minimum of two (2) years of relevant experience in office support or similar role that would provide the required knowledge and skills to perform the duties of the job
  • Minimum one (1) year experience working in a front desk or receptionist capacity
  • Minimum one (1) year experience providing exceptional customer service
  • Minimum one (1) year experience providing accurate data entry
  • Minimum one (1) year experience handling a high volume of calls and greeting walk-in visitors
  • Strong verbal and written communication skills, including the ability to communicate well with members of diverse populations


Preferred Qualifications:

  • Experience working independently and in a fast-paced environment
  • Experience working in a residential treatment setting
  • Experience working in a correctional setting
  • Experience supporting substance use disorder services
  • Experience with Epic electronic health record software


Pre-Employment Requirements:

  • Must pass a criminal history investigation and a criminal justice information services (CJIS) clearance. These checks may include the requirement for a State or National fingerprint records check and/or thorough Statement of Personal History.

WORK SCHEDULE

This position worked 40.0 hours during a standard work week, Monday through Friday.

This position is designated as on-site/in-person. It is expected that the selected candidate will perform duties on-site at the CSAP center.

Specific hours of work will be discussed with the candidate selected for the position at the time an offer of employment is extended.
