Overview
The Summer Program’s Office Coordinator is responsible for assisting with the day-to-day operation of the summer programs. This includes the YESS Office responsibilities and occasional help at Camp Ability if and where needed. Prior to summer, this person will assist with account set up and tracking for campers, paperwork organization and tracking, occasional communication with families and hired staff, Coordinate volunteers, This person will check-in YESS students, run special events, collect required paperwork, track incident reports, assist with supply purchasing and organization, maintain proper merchandise inventory, assist with group lunch preparations as needed, fill in for afternoon recreation staffing as needed, and assist the Programs Manager in training and equipping recreation staff. Other duties as assigned prior to and during summer.
This position has potential to grow into a full year position to assist with other programs year round.
Responsibilities
● Track and follow up on missing/expired documents, paperwork and applications.
● Organize and distribute incoming staff and camper forms
● Complete projects prior to summer programs to ensure a smooth program
● Collect required recreation paperwork and waivers, check in campers in mornings for attendance tracking, answer office phone, run special education events as backup, print roll sheets, print and hang photos.
● Maintain upkeep with t-shirt and merchandise inventory for all summer programs
● Plan and execute special events
● Track incident report data, employee certifications, and parent concerns.
● Provide incident reports daily to Program Manager for review.
● Assist in orientation and ongoing training of recreation staff as needed.
- Email with families regarding missing information or updates
● Communicate updates and important information with parents, staff, and community members in strategic ongoing methods through weekly emails, text-it system, CampMinder mass emails, alerts and phone calls. Respond to parent emails and calls in a timely manner.
● Create flyers and other forms of communication for families. Post on social media as needed during big events.
● Collect and review funding plans and attendance sheets. Act as liaison between programs and finance department to track these documents.
Requirements
- Experience Requirements:
● A valid driver’s license and adequate transportation
● Experience working with individuals with intellectual and developmental disabilities.
Education Requirements:
● Up to date on agency training
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 50 pounds at times.
· Must be able to physically set up and tear down activities and supplies
· Prolonged periods of being on your feet with campers or for activities as needed.
· Must be able to participate in recreational activities including but not limited to: walking, swimming, climbing, running, and lifting.

Pay: $12.00 – $14.00 per hour
