Position Overview
The Executive Assistant provides high‑level administrative and operational support to the executive leadership team. This role requires strong organization, professional communication, sound judgment, and the ability to work independently in a fast‑paced, executive environment. The Executive Assistant plays a critical role in executive reporting, presentation preparation, project coordination, vendor interaction, and front office operations.
Key Responsibilities
- Executive & Administrative Support
- Prepare, edit, and format correspondence, communications, presentations, reports, and other documentation
- Executive Reporting & Presentations
- Support executive‑level reporting and presentation development, including data compilation, formatting, editing, and coordination of materials for leadership meetings
- Ensure accuracy, consistency, and professionalism in executive deliverables
- Track priorities, deadlines, and follow‑ups to ensure commitments are met
- Support project coordination, timelines, and status updates
- Exercise strong independent judgment when prioritizing requests and managing competing demands
- Perform special projects and additional duties as assigned by the leadership team
Vendor & Office Operations
- Obtain, organize, and compare vendor quotes and proposals
- Coordinate with vendors on timelines, deliverables, and documentation
- Maintain organized records of quotes, contracts, and approvals
Front Office & Reception
- Serve as the first point of contact for visitors, callers, and general inquiries
- Manage incoming calls, emails, and in‑person inquiries with professionalism
- Maintain a clean, organized, and welcoming office environment
- Handle mail, deliveries, and shipments
- Manage office supplies, inventory, and general office organization
Qualifications
- 2-5 years of experience as an Executive Assistant or Senior Administrative Assistant supporting senior or executive leadership
- Bachelor’s degree (Business, Operations, Management, or related field)
- Strong written and verbal communication skills
- High level of organization, attention to detail, and time‑management ability
- Experience supporting executive reporting and presentations
- Familiarity with project management concepts and vendor coordination
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Preferred Experience
- Direct experience supporting C‑suite executive
- Experience in a private equity, multi‑entity, or fast‑growth environment
- Exposure to vendor management, quoting, or basic financial documentation
- Experience with Monday.com or other project management tools

Compensation is starting at $25.00 an hour, and increases with experience.
