Job Purpose
Responsible for providing comprehensive and confidential secretarial and admin support to the manager/s based in the country/station.
Job Outline
Secretarial and Admin:
Co-ordinate the diary, schedules and travel arrangements for the Country Manager.
Independently ensure and supervise efficient filing system.
Screen incoming telephone calls from trade and direct customer and ensure all enquiries are dealt with and ownership is established within the Sales Department.
Draft responses to general commercial correspondence or redirect correspondence to relevant departments or sales sections as appropriate.
Co-ordinate arrangements for a variety of internal and external meetings and assemble appropriate material for the meetings/conferences.
Undertake a variety of administrative routines without supervision and/or ad-hoc exercises within Company guidelines.
Oversee the maintenance of office equipment and coordinate repairs, manage office supplies and order items as needed.
Work closely with suppliers to address concerns and assist in any issues related to payments, invoices, or supplier contracts
Coordinate with Finance to ensure payments to suppliers are processed on time and according to agreed terms to avoid any service disruption
Assists in HR-related admin and clerical tasks including employee relations, administration of employee benefit programs, recruitment/interview support, and other HR-related documentation as needed.
Monitors complaints or other legal concerns received by the office of the Country Manager and supports in documentation, thorough investigation to properly handle complaints, coordinate with lawyers and other relevant department involved, when necessary.
Sales Support
Manage the invitation processes of all local Sponsorships/Events such as local promotional events, special projects and corporate hospitality including accommodation and transfers for invitees.
Collate and provide regular reports from Commercial Sales systems as directed by Country Manager for forward booking and revenue performance analysis. Provide market intelligence as available.
Administration of commercial upgrades/excess baggage approvals as directed by the Country Manager and maintain all accountable records of approvals and refusals.
Assist the Sales team to create and maintain the customer records, requests, client complaints etc.,
Manage, maintain and distribute Emirates sales collateral, pricing circulars/fare sheets to all agents where required.
Identify new and build on already well-established relationships with Emirates’ most loyal customers.
Qualifications
Qualifications & Experience
12 yrs schooling or equivalent
Experience
3+ yrs experience in airline support role or similar airline commercial role. Prior experience in an administrative or office environment.
Knowledge & Skills
Working knowledge of Corporate, Leisure and Consolidator markets.
Skilled use of Microsoft packages, Salesforce, target.com, SPACE, MARS.
Sound knowledge of airline fares and ticketing.
Previous experience in event coordination.
Good inter-personal skills.
