As a valued New Mexico Department of Justice employee, you will receive a hiring bonus of forty (40) hours of leave at your start date to be used at any time. This is in addition to standard leave accrual for employees.
Why does the job exist?
This position exists to provide advanced administrative and operational support to the Intake and Constituent Services Bureau by assisting the public including in-person visitors and incoming telephone calls, recognizing and processing service of process and other official legal notifications, coordinating office operations, managing intake and records processes, and ensuring the accurate and timely completion of administrative functions while supporting division staff and maintaining compliance with agency policies and procedures.
How does it get done?
- Serve as the primary point of contact for the public by receiving, reviewing, and routing constituent inquiries, complaints, and correspondence
- Answer and direct incoming calls from the public
- Recognize and process communications and notifications from courts and other legal entities
- Perform complex administrative and clerical duties requiring advanced knowledge of office operations, policies, and procedures
- Coordinate intake activities, process and maintain confidential records, and ensure the accurate and timely management of documents and information
- Exercise independent judgment to prioritize workload, resolve administrative issues, and develop or adapt non-standard procedures to improve workflow
- Provide advanced customer service by responding to inquiries, assisting with forms and requests, and facilitating communication between constituents and division staff
- Coordinate administrative operations, including correspondence, scheduling, mail distribution, records management, and office support functions to ensure efficient division operations
- Support division staff by preparing reports, researching information, maintaining compliance with agency policies and procedures, and assisting with the implementation of administrative processes

Minimum Qualification
High School diploma or equivalent and one (1) year of experience in office administration, customer service, records management technique and procedures, basic accounting, and/or business administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling one year (1) year may substitute for the required experience.
Employment Requirements
Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment as some statewide travel maybe required.
Pre-employment background check is required and conditional pending results.
Working Conditions
Working conditions are an office setting with exposure to visual/video display terminal, extensive personal computer and phone usage. Some in-state travel may be required utilizing a state vehicle.
