The Student Accounts Coordinator provides courteous, professional service to students, staff, parents, and community members. The role focuses on student accounts, financial aid, veterans’ benefits, loans, payment plans, orientation, admissions, and registration. This coordinator collaborates with multiple departments to ensure consistent service delivery and refers students to appropriate university resources. Service is delivered in a professional, efficient, courteous, and friendly manner, requiring sound independent judgment and minimal supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintain and manage the Accounts Receivable System (20%)
    • Monitor and respond to the Student Accounts email account
  • Process deposits (10%)
    • Process electronic and manual deposits with the university’s bank
  • Operate student accounting processes (25%)
    • Billings, finance charges, outsourced payment plans, and electronic data transfers from third parties
    • Ensure database accuracy and compliance with government regulations
  • Communicate with Student Financial Aid, Admissions, Registrar’s Office, and Residential Life to streamline Student Account operations
  • Process Student Charges for each term (20%)
    • Create and change charge batches as needed
    • Adjust charges, approve drop/add forms, and manage finance charges, holds, and deferred income on a monthly basis
    • Process withdrawal and Leave‑of‑Absence adjustments
    • Send monthly billing statements and notifications
  • Backup the Associate VP for processing financial aid refunds (5%)
    • Perform quality assurance to eliminate errors
    • Ensure refund checks are ready and notify students and parents when checks are ready
  • Prepare and maintain registration lists and holds, balance AR accounts, and assist with annual audit schedules (25%)
    • Prepare Registration/Move‑in Drop List and Hold List for all semesters
    • Answer phones and provide financial counseling for payment options and plans
    • Resolve escalated account balance issues with students or parents
    • Self‑evaluate to streamline processes and utilize technology
  • Create and maintain Balance‑Due reports, providing bi‑weekly updates to the Associate VP
  • Manage collections (Collections operations)
    • Professional account balance collection effort
    • Send outstanding balances to collections regularly
    • Maintain collection account list and collaborate with agencies
    • Follow standard operating procedures for debt collection notifications
  • Prepare annually for Returning Student Tuition
    • Test, examine, and re‑examine processes with campus technology for efficiency
    • Mass add the “BD” hold at the appropriate time
    • Develop communication with the Associate VP’s oversight
  • Monitor the Nightly Business Office (BU) Job Report
    • Step 3:
      Zero‑subsidiary “A1” deposits missing
    • Step 4:
      Payment received after BU hold

JOB QUALIFICATIONS

    PREFERRED QUALIFICATIONS

    • General knowledge of standard accounting practices
    • Experience in a higher‑education environment

    KNOWLEDGE/SKILLS/ABILITIES

    • Excellent written and oral communication skills
    • Accurate, detail‑oriented, and capable of handling multiple daily tasks
    • Strong working knowledge of Microsoft Office products and core operating systems
    • Knowledge of accounts receivable, collections, and minimal supervision requirements
    • Organizational and prioritization skills; ability to work independently or in a team
    • Commitment to honesty, integrity, and respect
    • Professionalism and positive attitude
    • Capacity to establish and maintain effective relationships with internal and external constituents

    GUIDELINES AND SUPERVISION

    The Student Accounts Coordinator reports directly to the Associate Vice President for Student Financial Services and, in their absence, to the Associate Director of Student Financial Services. The manager is also encouraged to offer suggestions and input.

    WORK SCHEDULE

    Monday‑Thursday: 8:00 a.m. – 5:00 p.m.
    Friday: 8:00 a.m. – 1:00 p.m.
