Senior Administrative Specialist (K0240240) – The incumbent will assign, delegate, and monitor the work of administrative assistants and receptionists to ensure efficient front‑desk operations. They will assist with database creation, data entry, and management to support eligibility operations, retrieve data, create and analyze basic reports, and serve as the main point of contact for escalated front‑desk customer inquiries. In addition, the incumbent will oversee the stock of office supplies, equipment, and forms, order and purchase supplies and equipment, handle office inventory, and evaluate and recommend improvements to administrative procedures.

Responsibilities
- Assign, delegate, and monitor work of administrative assistants and receptionists to ensure efficient front‑desk operations.
- Assist with database creation, data entry, and management to support eligibility operations.
- Retrieve data, create, and analyze basic reports.
- Serve as main point of contact for escalated front‑desk customer inquiries.
- Oversee stock of office supplies, equipment, and forms; order and purchase supplies and equipment.
- Evaluate and recommend improvements to administrative procedures.
Qualifications
- Education:
- Licensing & Certification:
- Valid Driver’s License – required for operating a state vehicle, private vehicle, or rental vehicle for state benefit.
- Minimum Qualifications:
- Three years of experience in general office, clerical, and administrative support work (education may be substituted as determined relevant by the agency).
- Preferred Qualifications:
- Four years of direct experience in any area of study.
- Proficiency with Word, Excel, PowerPoint, and Access.
- Proofreading, editing, and strong attention to detail.
- Ability to proofread and edit under tight deadlines.
- Experience performing administrative support work for an executive or senior leadership position.
- Ability to understand and follow instructions.
- Ability to quickly adapt and prioritize tasks/information.
- Experience providing phone and face‑to‑face customer support.
- Experience creating and managing databases and/or developing internal processes.
