Job Summary:

We are seeking a professional and customer-focused Receptionist / Passenger Coordinator to be the first point of contact for our helicopter operations. This role combines front-desk administrative duties with hands-on coordination of passengers for helicopter flights. The ideal candidate will possess excellent communication skills, a strong attention to detail, and a safety-first mindset.

Key Responsibilities:

Reception & Administrative Duties:

  • Greet visitors, clients, and passengers in a professional and welcoming manner.
  • Answer phone calls, respond to emails, and manage bookings or inquiries.
  • Maintain an organized and presentable front office area.
  • Perform general administrative tasks, such as data entry, filing, and maintaining passenger manifests.
  • Coordinate with pilots, operations staff, and ground crew regarding flight schedules and customer needs.
  • Assist in managing the daily flight schedule and keeping passengers informed of changes or delays.

Passenger Coordination & Flight Support:

  • Ensure smooth and safe on and off-loading of passengers before and after helicopter flights.
  • Conduct pre-flight safety briefings for passengers as required.
  • Escort passengers to and from the helipad or aircraft while maintaining strict adherence to safety procedures.
  • Assist with weighing and ensuring it meets company safety limits.
  • Maintain accurate records of passenger movements and manifest documentation.
  • Monitor and manage waiting areas, ensuring passengers are comfortable and informed.

Skills & Qualifications:

  • Previous experience in a customer service, reception, or aviation-related role advantages.
  • Strong organizational and communication skills.
  • Ability to multitask in a fast-paced, operational environment.
  • High attention to detail and commitment to safety.
  • Comfortable working outdoors and around aircraft.
  • Basic computer literacy (Microsoft Office, booking systems).

Additional Information:

  • Must be willing to work flexible hours, including weekends and holidays, depending on flight schedules.
  • Training on helicopter safety procedures and passenger handling will be provided.
  • Uniform/PPE provided as required for airside operations.
  • Dangerous Goods certificate will be advantageous but not a must.
