Job Summary

A growing real estate management and investment company is seeking a highly professional, organized, and proactive Receptionist / Office Administrator to serve as the first point of contact for visitors, tenants, vendors, and business partners. This individual will play a key role in maintaining a welcoming office environment while providing essential administrative, operational, and accounting support. The ideal candidate is detail-oriented, customer-service focused, and thrives in a fast-paced, professional office setting.

Key Responsibilities

Front Office Management & Guest Services

Serve as the first point of contact for all visitors and guests, ensuring a professional and welcoming experience.

Answer, screen, and direct incoming phone calls to the appropriate departments and team members.

Maintain a clean, organized, and professional reception area, kitchen, conference rooms, and common office spaces.

Assist visitors, vendors, contractors, and tenants with inquiries and direct them appropriately.

Coordinate visitor sign-in procedures and notify staff of arriving guests.

Administrative & Facilities Support

Manage office supply inventory and place orders as needed to ensure uninterrupted office operations.

Assist with scheduling meetings, preparing conference rooms, and coordinating company events.

Support daily office operations, filing systems, and administrative projects.

Coordinate with building management, vendors, and service providers regarding office-related needs.

Help maintain an efficient, organized, and productive workplace environment.

Mail, Deliveries & Accounting Support

Receive, sort, scan, and distribute incoming mail, packages, and deliveries promptly.

Prepare outgoing mail and courier shipments and coordinate daily drop-offs when necessary.

Scan and organize invoices, receipts, and supporting documentation for the accounting department.

Assist with document management, data entry, and other administrative accounting tasks as assigned.

Maintain accurate records of mail, deliveries, and office-related expenditures.

Required Qualifications

Minimum 2 years of experience in a receptionist, front office, office administration, or customer service role.

Excellent verbal and written communication skills with a professional phone manner.

Strong organizational skills and ability to manage multiple priorities simultaneously.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and Teams).

Professional appearance, positive attitude, and strong interpersonal skills.

Ability to work independently while collaborating effectively with team members.

High level of accuracy, attention to detail, and discretion when handling confidential information.

Reliable, punctual, and adaptable in a fast-paced environment.

High school diploma or equivalent required; associate's degree or related administrative training preferred.

Preferred Qualifications

Experience working in a real estate, property management, construction, or professional services environment.

Familiarity with invoice processing, office operations, or accounting support functions.

Experience coordinating meetings, events, and vendor communications.
