Job Description

We are looking for a professional and organized Receptionist to join our Day Surgery unit in Sydney, Australia. In this role, you will be the first point of contact for our patients and visitors, providing exceptional customer service while managing administrative tasks in a fast-paced healthcare environment. The ideal candidate will demonstrate strong interpersonal skills, attention to detail, and the ability to multitask effectively while maintaining a calm and supportive demeanor. You will be working permanent Saturday shifts and then assisting causally during the week if needed.

  • Greet patients and visitors in a friendly and professional manner upon arrival at the Day Surgery unit
  • Schedule and confirm patient appointments using our practice management system
  • Register new patients and maintain accurate patient records and documentation
  • Answer and direct incoming phone calls, taking messages and providing information as needed
  • Process patient check-ins and check-outs, collecting necessary information and payments
  • Manage appointment calendars and coordinate scheduling across multiple surgical teams
  • Maintain a clean, organized, and welcoming reception area
  • Handle patient inquiries with empathy and direct complex concerns to appropriate staff members
  • Perform data entry tasks accurately and efficiently while maintaining patient confidentiality
  • Assist with administrative duties such as filing, copying, and organizing medical records
  • Support the surgical team by communicating patient status updates and managing waiting areas
  • Comply with all healthcare privacy regulations and organizational policies

Qualifications

  • Proven experience as a receptionist or in a customer service role
  • Excellent phone etiquette and communication skills
  • Proficiency with appointment scheduling systems and general office software
  • Strong organizational and time management skills
  • Ability to multitask and prioritize in a busy environment
  • Professional demeanor with a friendly and empathetic approach
  • Attention to detail and accuracy in data entry
  • Ability to maintain patient confidentiality and handle sensitive information
  • Reliable and punctual with a commitment to excellent customer service
  • Preferred: Previous experience in a healthcare or medical office setting
  • Preferred: Familiarity with medical terminology and healthcare administration
  • Preferred: Experience with healthcare-specific software programs
