We are looking for a detail-oriented Administrative Assistant to support daily administrative operations for a church office in Houston, Texas. This Contract to Permanent opportunity is ideal for someone who is organized, service-oriented, and comfortable managing front desk responsibilities alongside facility, event, and membership-related coordination. The person in this role will help keep office functions running smoothly while providing dependable support to staff, visitors, and ministry activities.
Responsibilities:
• Manage membership records and update database information accurately, including processing membership changes and preparing transfer correspondence when requested.
• Maintain facility schedules and coordinate space usage, parking arrangements, and related resources for church activities and partner events.
• Conduct regular inspections of cemetery grounds to identify upkeep needs and work with external administration teams on burial arrangements and maintenance items.
• Organize holiday flag placement at veterans’ graves and ensure commemorative observances are supported according to schedule.
• Record attendance details for weekly events and maintain accurate administrative data for internal tracking.
• Coordinate security coverage for events, oversee surveillance and access systems, and maintain key control, key fob distribution, and building permit records.
• Handle incoming and outgoing mail and deliveries, and support office purchasing by ordering approved supplies and maintaining vending inventory.
• Track kitchen equipment, furniture, and shared-space supplies while helping coordinate volunteers for seasonal decorating and special facility needs.
• Support the setup and logistical preparation for non-worship events such as concerts, weddings, funerals, and partner gatherings, including collaboration with hospitality volunteers.
• Provide general administrative support to staff by preparing ministry materials, assisting with meeting coordination, helping organize outreach efforts such as the annual food drive, and completing other assigned office tasks.
• Previous experience in an administrative assistant, receptionist, or office support position.
• Strong data entry and recordkeeping skills with careful attention to accuracy and detail.
• Ability to manage multiple schedules, requests, and administrative priorities in a detail-focused environment.
• Comfortable handling inbound calls, deliveries, visitors, and general front office responsibilities.
• Strong written and verbal communication skills with the ability to interact effectively with staff, volunteers, and community members.
• Proficiency with standard office software and administrative systems used for calendars, correspondence, and tracking information.
• Ability to maintain confidentiality and use sound judgment when handling sensitive information and facility access matters.
