About the Role
This is not a typical office position. As a commercial HVAC company, our environment is hands-on, and constantly evolving. We are seeking a dependable, proactive professional to serve as a central point of coordination for both our office and shop operations (same location).
While the title may be Front Desk Administrative Assistant, the role goes well beyond traditional administrative work. This position plays a key role in keeping daily operations organized, supporting the team, and ensuring everything runs efficiently. Key Responsibilities
Office Operations
- Answer incoming calls and provide professional customer service
- Process payments and manage monthly billing
- Maintain a clean, organized, and professional front office environment
Finance and Payroll Support
- Manage Purchase Orders (POs)
- Report weekly hours for payroll processing
- Assist with Certified Payroll reporting
Onboarding and HR Support
- Coordinate and manage new hire paperwork and onboarding processes
Accounting Systems
- Maintain accurate records in QuickBooks
- Ensure financial data is organized and up to date
Shop and Team Support
- Assist with day-to-day shop needs and team support tasks
- Run local errands, including picking up materials and delivering plans
- Help care for two office dogs
Daily Logistics
- Open and sort incoming mail
- Manage and organize emails for leadership
- Secure and close the office and shop at the end of the day

- Adaptable: Comfortable shifting between tasks in a fast-paced environment
- Team-Oriented: Willing to step in wherever needed, both in the office and in the field
- Detail-Oriented and Organized: Able to manage multiple responsibilities efficiently
- Technically Capable: Comfortable using QuickBooks, email systems, and payroll tools
Requirements
- Experience with QuickBooks and basic accounting or billing processes
- Familiarity with Certified Payroll, or willingness to learn quickly
- Valid driver’s license and reliable transportation for local errands
- Strong work ethic with a “no task too small” mindset
- Comfortable working around dogs

Pay: $12.00 – $13.00 per hour
