We are seeking a dynamic and highly organized Real Estate/Property Management Executive Assistant to join our team. Duties
- Manage calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and property showings with precision.
- Coordinate multiple projects simultaneously, including property inspections, leasing activities, and maintenance schedules, ensuring deadlines are met.
- Provide executive administrative support by preparing reports, proofreading documents, transcribing notes, and maintaining accurate filing systems.
- Handle high-volume phone calls with professionalism using multi-line phone systems and uphold excellent phone etiquette when communicating with clients, vendors, and team members.
- Oversee office operations including bookkeeping, data entry, filing, and managing office supplies to maintain an organized workspace.
- Assist with event planning for open houses, client appreciation events, or team meetings to foster positive relationships within the community.
- Support personal assistant duties such as managing travel arrangements and personal appointments for executives as needed.
- Utilize office software such as Microsoft Office Suite (Word, Excel) and Google Workspace to produce professional documents and presentations.
- Conduct transcription of meetings or interviews and proofread all correspondence for accuracy before distribution.
- Maintain detailed records of property transactions, lease agreements via DocuSign or similar platforms, and ensure compliance with company policies.
Skills
- Proven experience in executive administrative support within real estate or property management environments.
- Strong organizational skills with the ability to prioritize tasks effectively in a busy setting.
- Excellent communication skills demonstrating professionalism in person, on the phone, and via email.
- Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace tools (Docs, Sheets), and data entry systems.
- Familiarity with QuickBooks for bookkeeping and basic financial recordkeeping.
- Experience coordinating events such as open houses or client meetings is highly desirable.
- Ability to manage multiple projects simultaneously while maintaining attention to detail.
- Knowledge of office management procedures including filing systems and front desk responsibilities.
