OFFICIAL TITLE: Administrative Assistant I, Athletics & Recreation
SUPERVISION RECEIVED: Director of Athletics
SUPERVISION EXERCISED: May supervise student employees and/or work study, as assigned

General Statement of Duties: The full-time 12-month position will assist the Athletics Department in all aspects of managing the office; provides administrative support for all full-time members of the Athletic Department, including the part-time coaching staff. A strong focus will be on the facilitation of accounts payable and receivables, payroll administration, team travel administrative support, and other normal Administrative Assistant responsibilities.

Responsibilities:

(E) Monitor department main telephone line, general voice mailbox and forward calls, as needed.
(E) Order and serve as inventory manager of office supplies.
(E) Primary liaison with the Mailroom, IT and Inventory Control departments as it relates to copier maintenance, new/exiting employee office setup, etc.
(E) Serve as main point of contact for coaches in regards to per diem administration and recruiting meal vouchers.
(E) Reserve room locations, rental vans, porta potties and help facilitate banquet requirements for any Athletic Department events, as needed.
(E) Serve as Executive Assistant to the Director of Athletics and support other Associate/Assistant Directors when approved by the Director of Athletics.
(E) Act as primary greeter during regular business hours in the Athletic Department office.
(E) Provides general administrative assistance to the Athletic Department professional staff, including coaches.
(E) Prepare university, state and departmental forms including AAAB grant requests and request for travel forms for part-time coaches, support staff and teams, as needed.
(E) Assist Athletics Support Staff with pre-season roster information that is required for the onboarding of student-athletes.
(E) Fill out requisitions and pay all Athletics and Wellness Center invoices through the operations, fundraising, foundation or trust accounts.
(E) Generate invoices for participating institutions for all Athletic Department related events that Worcester State hosts.
(E) Process all accounts receivables, including Online Store and Licensing revenues, MASCAC grants, concession sales, home gate receipts, and sports teams’ fundraising proceeds.
(E) Handle payroll administration and execution for all coaches, officials, home game management employees, per diems, etc.
(E) May supervise student employees as needed.
(E) Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students.
(E) Responsible for contributing to the WSU Strategic Plan.

Job Requirements:

Required Qualifications:

At least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.

I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*

II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Knowledge of the principles and practices of office management.
Knowledge of the methods used in the preparation of charts, graphs and tables.
Knowledge of the types and uses of general office equipment.
Ability to understand, explain and apply the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unit activities.
Ability to analyze and determine the applicability of data, to draw conclusions and to make appropriate recommendations.
Ability to follow written and oral instructions.
Ability to gather information through questioning individuals and by examining records and documents.
Ability to write concisely, to express thoughts clearly and to develop ideas in logical sequence.
Ability to assemble items of information in accordance with established procedures.
Ability to determine proper format and procedure for assembling items of information.
Ability to prepare general reports.
Ability to maintain accurate records.
Ability to prepare and use charts, graphs, and tables.
Ability to communicate effectively in oral expression.

Preferred Qualifications:

Bachelor’s degree with a desire to work in the administration of an intercollegiate athletic program.
Minimum of two years’ experience in Administration.
Candidates must demonstrate the commitment to work successfully in a complex and diverse, public supported NCAA Division III athletic program.
Familiarity with software such as Colleague, Live 25, Excel, and Microsoft Word.

This is a grade 15, non-exempt, full-time (37.5 hours/week), benefited AFSCME position. The bi-weekly salary is $2,028.38(annual salary is $52,737.88).
