We are seeking a dynamic and highly organized Project Coordinator to join our team! Responsibilities

  • Coordinate project schedules, track progress, and ensure deadlines are met through effective calendar management and task prioritization
  • Serve as the primary point of contact between team members, clients, vendors, and stakeholders to facilitate clear communication and collaboration
  • Manage documentation including reports, meeting minutes, proposals, and project plans with accuracy and attention to detail
  • Utilize productivity software such as Microsoft Office, Google Workspace, and specialized project management tools to organize tasks and maintain records
  • Handle incoming inquiries via multi-line phone systems with professional phone etiquette while providing excellent customer service support
  • Assist with office management duties including filing, data entry, proofreading documents, and maintaining organized project files
  • Support bookkeeping activities using QuickBooks or similar accounting software to track budgets and expenses related to projects
  • Contribute to continuous process improvements by identifying efficiencies in administrative workflows and implementing best practices

Experience

  • Proven experience in office management or administrative roles with a focus on project coordination or support functions
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry skills
  • Bilingual abilities are highly valued to support diverse teams and client interactions effectively
  • Previous experience working in environments such as medical or dental offices, or as a personal assistant or front desk receptionist is preferred
  • Demonstrated organizational skills with the ability to manage multiple priorities simultaneously while maintaining high productivity levels
  • Excellent phone etiquette coupled with customer service expertise to handle inquiries professionally across various channels
  • Familiarity with clerical tasks including filing, proofreading documents, calendar management, and record keeping
  • Technical proficiency in office equipment such as multi-line phone systems and basic bookkeeping tools like QuickBooks is advantageous
