Patient Services Coordinator Jobs in Webster, USA at US Oncology Inc.

Texas Oncology, part of the US Oncology Network, is looking for a Patient Services Coordinator to support the Urology Department at its 400 Medical Center Blvd Suite 245 clinic in Webster, Texas. This is a full‑time position, Monday through Friday, 8:00 a.m.–5:00 p.m. The role can be Level 1, 2, or Senior based on experience.

What does the Patient Services Coordinator do? (including but not limited to)

The Patient Services Coordinator greets patients and their friends/family, schedules and registers appointments, answers and directs incoming calls, relays messages between patients and clinical staff, and supports the US Oncology Compliance Program, including the Code of Ethics, Business Standards and Shared Values.

Responsibilities

The essential duties and responsibilities (including but not limited to):

  • Greets patients and visitors to the clinic promptly and professionally, checks them in and informs clinical staff of arrival.
  • Provides and explains paperwork for patients to complete before examination, collects and files forms, updates demographics and insurance information, collects co‑pays and balances, and provides receipts.
  • Answers, screens, and responds to routine questions, routing them to appropriate personnel or taking thorough messages; pages clinic personnel as needed; communicates messages accurately and timely according to procedures.
  • Checks patients out after examination, schedules returning appointments per physician or office guidelines, and provides appointment details (time, location, directions, instruction sheets). Records cancellations and missed appointments, reschedules, and notifies staff in the chart.
  • Provides general administrative support by filing charts and forms, maintaining the lobby area in an orderly manner, and keeping appropriate office supplies stocked.
  • Adheres to confidentiality, state, federal, and HIPAA laws and guidelines regarding patient records.
  • Completes other duties as requested or assigned; may type memos and forms.

Qualifications

The ideal candidate will have the following background and experience.

Level 1

  • Reception or office experience preferred.
  • Proficiency with computer systems and Microsoft (Outlook, Word, and Excel).
  • Successful completion of required e‑learning courses within 90 days of start date.

Level 2 (including Level 1 requirements)

  • At least 18 months front‑line medical office receptionist experience with insurance forms and scheduling software.
  • Knowledge of practice personnel, daily routines, and scheduling a plus.

Level Sr (including Level 1 and 2 requirements)

  • At least 5 years front‑line medical office receptionist experience with insurance forms and scheduling software.

Physical Demands

The physical demands described here are representative of those that must be met to perform the essential functions of this job. The employee regularly sits and uses hands to finger, handle, or feel; occasionally stands, walks, and reaches with hands and arms; may lift and/or move up to 30 pounds. Requires vision and hearing corrected to normal ranges.
