Job Title: Patient Concierge

As the first point of contact for Luxe Skin Medspa, the Patient Concierge is dedicated to delivering an exceptional, welcoming experience to every patient and guest. This role blends high-touch hospitality with expert lead management, ensuring seamless appointment scheduling, patient intake, and ongoing support throughout the patient journey. You will be responsible for nurturing client relationships, coordinating consultations, and representing the best of Luxe Skin Medspa’s standards in both service and presentation.

Key Responsibilities

  • Lead Management & Guest Intake: Serve as the primary intake for all patient inquiries, whether by phone, web, or walk-in, responding promptly and warmly to schedule consultations and treatments.
  • Patient Concierge Service: Guide new and returning patients through their medspa experience, from pre-consult education to treatment check-out, ensuring comfort, clarity, and satisfaction at every touchpoint.
  • Appointment Coordination: Manage the appointment calendar with precision, proactively confirming, rescheduling, and following up on bookings, including no-shows and cancellations.
  • Consultation Support: Assist providers during consultations by welcoming patients, discussing aesthetic goals, reviewing treatment options, and ensuring all questions are answered.
  • Client Relationship Management: Maintain accurate patient records, track follow-up needs, and proactively reach out to nurture leads and encourage future bookings.
  • Sales & Membership Promotion: Educate clients on Luxe Skin Medspa services, skincare products, membership plans, and loyalty programs, supporting their aesthetic goals while increasing engagement and sales.
  • Reception Excellence: Ensure the front desk area is immaculate, inviting, and reflective of a luxury brand. Greet every guest with warmth and professionalism.
  • Team Collaboration: Work closely with clinical and marketing teams to support patient care, gather testimonials, and promote medspa initiatives.

Experience

  • 2+ years of experience in a luxury hospitality, concierge, or front desk role (medspa, spa, or aesthetics experience highly preferred)
  • Exceptional communication and interpersonal skills, patient, poised, and service-oriented
  • Strong organizational abilities and attention to detail
  • Experience with scheduling software and CRM systems
  • Sales aptitude and comfort discussing aesthetic treatments and memberships
  • Impeccable presentation and polished appearance in line with Luxe Skin Medspa standards
  • College degree preferred, but not required
