Patient Coordinator/Fitter Job Description
Sound Prosthetics and Orthotics’ compression department specializes compression garments for patients with Lymphedema/Edema. Our office provides garments to patients that are seen by therapists and patients that come directly to our office for measuring and fittings. We are looking for a Medical Receptionist/Fitter who can multitask in a fast-paced environment. This person must be able to work closely with therapists and well as patients. Reports to the owner.
Primary Position Duties:
- Greet patients with a welcoming smile and friendly disposition upon arrival.
- Check-in patients for scheduled appointments: obtaining appropriate signatures, verifying patient demographics, collecting payments/providing information to patients regarding unpaid balances and assisting the patient as needed.
- Submit and complete insurance verifications, submit and complete authorizations, and ensure compliant chart notes.
- Answer multi-line phones in a courteous manner.
- Data Entry: compile and record medical charts, reports, and correspondence.
- Composes routine correspondence as required.
- Performs general clerical duties, including but not limited to filing, photocopying, faxing, scanning, emailing and mailing as required.
- Organize and maintain electronic file systems, file correspondence and other records.
- Measure and fit patients with compression garments and stay up to date with new garments and measuring standards. Training will be provided.
- Maintain fitting room cleanliness.
- Receiving shipments and package for shipping to patients or appointments.
- Manage garment orders and returns. Work closely with patients, therapists and doctors’ offices for patient garment orders.
- Maintain organization and efficiency of the front office including supplies and sanitization and organization of reception area.
- Perform other related duties as directed or assigned.
Position Requirements:
- Ability to work as a team member with other staff.
- Works well independently and in group settings.
- Maintain patient confidentiality and follow all HIPAA guidelines.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
- Computer skills: Microsoft Office, with skill in Word and Excel, Nymbl database (or similar DME database formats).
- Ability to organize and prioritize tasks effectively while multi-tasking.
- Ability to respond to changing demands with focus and clarity.
- Excellent Customer Service Skills: Has the ability to respond promptly to customer needs and is able to manage difficult or emotional customer situations.
- Excellent Oral and Written Communication: Has the ability to speak clearly and persuasively in positive or negative situations. Is able to respond well to questions. Writes clearly and informatively and will edit work for spelling and grammatical errors.
- Excellent Problem-Solving Skills: Has the ability to identify and resolve problems in a timely manner. Is able to gather and analyze information and present alternative solutions for a prompt resolution.

Experience/Education:
- Minimum of two years’ clerical experience in a medical office preferred, but exceptions may be made.
Skills:
- Healthcare/DME experience preferred but not required
- Excellent verbal and written communication skills

- Versatility and flexibility with a willingness to work with constantly changing priorities.
Position is part time, 30 hours per week. Monday – Friday 8:30am-3:30pm (lunch 12:00pm – 1:00pm). This position routinely works during normal business hours with very few extended hours or days.

Pay: $20.00 – $24.00 per hour
