Visa Information

TTUHSC, at its sole discretion, may initiate new H-1B I-129 visa petitions in accordance with the directive issued by Governor Abbott. Approval from the Texas Workforce Commission is required. On a limited, case-by-case basis, the institution may also sponsor eligible individuals for change-of-status or change-of-employer petitions for qualifying positions. TTUHSC will not pay the $100,000 fee, if applicable.

Position Description

Works independently performing a wide range of administrative and clerical duties. Supports the CPAN-PeriPAN program and assists the Program Manager and Sr. Program Director with planning and coordinating operational activities and events. Anticipates and resolves problems; routinely updates supervisor on status of projects. Provides administrative assistance by monitoring administrative projects and maintaining accurate records.

Major/Essential Functions

  • Help with data validation among multiple internal CPAN-PeriPAN trackers, verifying information between multiple spreadsheets and systems to ensure that correct information is contained and updated among all systems, correcting any redundant or incorrect information.
  • Coordinate with all team members to ensure tracking is appropriately completed/documented for the following: team/CAP/RP outreach calls, and that any updated outreach information is appropriately logged in trackers and is readily available.
  • Manage inventory and flow of materials coming in and going out for events and outreach, ensuring that all materials are gathered prior to events and accounted for following events, ensure that program staff are aware of where materials are held.
  • Assist in coordinating presentations and event planning aspects for conferences and resource booths (ensure that all needed materials, roadshow kits, etc. are prepared for the number of expected attendees, coordinate with conference/event leaders for conference specifics).
  • Be responsible for items being mailed out to stakeholders, sending email and fax blasts and surveys.

Occasional Duties

  • additional duties as assigned.

Required Qualifications

High school plus six years experience in related field. Additional education may substitute for experience on a year for year basis.

Preferred Qualifications

  • Bachelor’s degree in healthcare management, healthcare administration or similar degree.
  • 3+ years of working in a medical clinic, office or hospital setting.
  • Experience working within electronic health records.
  • Experience with Microsoft Office suite programs, primarily with Excel.
  • 2+ years of data tracking/data entry experience.
