About the Role

This is a hybrid role combining Patient Care Concierge responsibilities with Executive Assistant support for our Medical Director and Founder.

On the patient side, you are the first human connection a new patient has with Revitalize Me. When a patient submits a consultation request on our website, you call them, welcome them to the practice, gather clinical and goal-oriented information, educate them on our service offerings, and prepare them for a seamless handoff to our physician team. You are the bridge between patient inquiry and physician encounter — equal parts patient advocate, clinical communicator, and trusted advisor.

On the executive side, you’ll work directly alongside our Medical Director, supporting the day-to-day operations of a physician-CEO running a national telehealth practice. You’ll manage scheduling, communications, follow-ups, vendor coordination, and the operational details that keep things moving — freeing the Medical Director to focus on patients, providers, and growth.

This is a ground-floor role with significant growth potential as our team scales. The right person will become an indispensable part of the practice.

What You’ll Do

Patient Care Concierge Responsibilities

  • Conduct warm outreach calls to new patients shortly after their inquiry is submitted
  • Lead thorough intake conversations: medical history, symptoms, goals, expectations
  • Educate patients on our services — TRT, HRT, GLP-1 weight loss, peptides, sexual health, dermatology — in clear, compliant, non-prescriptive language
  • Align patients with appropriate service categories and lab panels before the physician consult
  • Prepare comprehensive intake summaries for the physician to maximize consult time
  • Follow up with patients post-consult to support onboarding, adherence, and retention
  • Maintain accurate records in our EHR and CRM systems
  • Operate within FDA, LegitScript, and state-specific telehealth compliance guidelines at all times

Executive Assistant Responsibilities (to the Medical Director)

  • Manage the Medical Director’s calendar, meetings, and scheduling priorities
  • Handle email correspondence, draft communications, and follow up on action items
  • Coordinate with vendors, partners, pharmacies, lab providers, and external collaborators
  • Prepare materials, agendas, and notes for internal and external meetings
  • Track tasks, projects, and deliverables across multiple workstreams
  • Run errands and handle on-site logistics as needed
  • Maintain the Medical Director’s organizational rhythm — anticipating needs, removing friction, and keeping the day moving
  • Maintain strict confidentiality around clinical, financial, and strategic information

Who You Are

Healthcare experience is required. We’re looking for someone who is comfortable with medical terminology, has strong patient-facing communication skills, and brings either a clinical or medical-sales background. Specific licenses are not required — but you should be able to speak the language of healthcare with confidence.

Examples of relevant backgrounds include (but are not limited to):

  • Pharmaceutical or medical device sales
  • Med spa or aesthetics consulting
  • Clinical roles such as RN, LPN, CMA, or MA
  • Patient coordinator, intake specialist, or front-office lead at a clinical practice
  • Executive or administrative assistant in a medical, dental, or wellness practice
  • Wellness, hormone, or weight-loss practice experience
  • Healthcare customer service or telehealth concierge experience

You’ll thrive in this role if you are:

  • An excellent communicator on the phone, in person, and in writing
  • Highly organized — comfortable juggling patient calls, calendars, and projects in the same day
  • Comfortable in sales conversations — confident closing without being pushy
  • Naturally empathetic, discreet, and professional
  • Proactive — you anticipate needs before being asked
  • Trustworthy with confidential clinical, financial, and strategic information
  • Tech-savvy: comfortable in EHR, CRM, video platforms, and Microsoft/Google Workspace
  • Self-directed and excited to grow with a fast-moving DTC healthcare brand

Preferred (Not Required)

  • Prior experience supporting a physician, executive, or business owner
  • Experience in telehealth, concierge medicine, or hormone/wellness practice
  • Working knowledge of TRT, HRT, GLP-1 weight loss, or peptide therapy
  • Bilingual (English/Spanish)

The Hiring Process

This role includes a paid working trial period at the start so we can ensure the right fit on both sides before transitioning to a permanent full-time position. Pay: $25.84 – $31.12 per hour
