Job Summary
We are seeking a detail-oriented and highly organized Operations Coordinator to join our Odessa team. In this role, you will serve as a vital operational hub — providing general administration support in a variety of areas. The ideal candidate thrives in a fast-paced environment, communicates effectively across departments, and takes ownership of administrative systems that keep our operations running smoothly.

Responsibilities:

Job & Budget Management

  • Create and manage job records in the system for new and existing customers
  • Develop job budgets and labor hour estimates based on customer quotes
  • Prepare and distribute job documentation and related paperwork
  • Maintain organized hard-copy and digital job files
  • Process purchase orders and materials within approved budget parameters
  • Verify budgeted versus actual costs and track job progress and statistics
  • Support account billing processes by reconciling labor hours to contracted agreements

Procurement & Accounts Payable Support

  • Create, code, and verify purchase orders for accuracy
  • Collaborate with Accounts Payable to ensure proper coding and processing
  • Coordinate with vendors on scheduling, inspections, and services
  • Maintain organized vendor records and documentation

Operations & Reporting

  • Generate regular labor and operations reports
  • Assist with job quoting

Customer & Shop Support

  • Support quote preparation for shop operations
  • Communicate directly with customers to obtain approvals and purchase orders
  • Monitor active jobs and keep customers informed on budgets and timelines

Administrative Support

  • Assist with new employee onboarding and orientation activities
  • Manage Odess employee system access setup

Quality & Training Support

  • Upload and maintain compliance and calibration documentation
  • Assist with organizing training materials for new hire onboarding
  • Support internal process improvement and documentation initiatives

Skills

  • 2+ years of administrative, operations, or office coordination experience
  • Strong attention to detail with demonstrated ability to manage multiple priorities
  • Effective communication skills for cross-departmental and vendor coordination
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Ability to work independently

Pay: $28.00 – $34.00 per hour
