Operations Associate
Full-time, in-office position

Reports to: Director of Operations
Schedule: Full-time, on-site (Monday through Friday)
About the role
Pinnacle Real Estate Advisors is the top locally and privately owned commercial real estate brokerage firm in Colorado. We are seeking a hardworking, trustworthy, and highly organized Operations Associate to serve as the welcoming face of our office and the operational backbone of our front of house. This individual is a member of the Leadership Team, actively participating in helping the company achieve its long-term goals.
This is a fast-paced, multifaceted role for someone with a genuine can-do attitude, the ability to learn quickly, and the adaptability to thrive in a demanding and changing environment. Strong multitasking skills are essential.
Key responsibilities
Front desk and reception
- Maintain and improve the policies that support our “Wow Factor” mission, impressing current and prospective clients from the moment they arrive.
- Answer telephones promptly and field calls accordingly; respond to or transfer voicemails.
- Greet and welcome visitors.
- Receive and sort incoming mail and deliveries; prepare mail, FedEx, and courier packages for pickup.
- Keep the reception area, kitchen, conference rooms, supply rooms, and work rooms clean and fully stocked throughout the day.
Office operations and inventory
- Manage inventory of all office supplies and company branded swag (pens, letterhead, and similar items); process reorders as needed.
- Assist staff and brokers with printing labels, binding, copying, filing, and scanning.
- Work closely with the Director of Operations and Senior Leadership with scheduling and appointment needs in Outlook Calendar.
- Maintain the company calendar for meetings, presentations, company outings, and conference room usage.
- Coordinate company sign orders, including ordering, tracking, installation and removal requests, and communication with sign vendors and brokers.
- Communicate internal and external building issues to the property management company, and route IT, computer, and phone issues to the respective vendors.
- Register brokers and staff for award luncheons, presentations, and continuing education classes.
Events and culture
- Coordinate office events, happy hours, lunches, and parties.
Marketing and cross-department support
- This individual is a member of the Leadership Team, actively participating in helping the company achieve its long-term goals. Working closely with the Director of Operations, President, and senior leadership, this individual helps plan and execute company initiatives.
- Create and distribute company email marketing campaigns, including maintaining contact lists, formatting communications, and scheduling deployment.
- Support the Marketing, Accounting and Research departments as needed.
Other
- Act as company notary, or obtain a Notary License within 30 days of start date (paid for by the company).
Qualifications
- Well-versed in Microsoft Office, particularly Outlook, Word, and Excel.
- Experience with, or the ability to quickly learn, Adobe Creative Suite and email marketing software.
- Comfort learning and supporting new technology platforms.
- Excellent verbal and written communication skills.
- Strong attention to detail and well-developed, professional interpersonal skills.
- A reliable team player who interacts effectively with people and balances multiple priorities.
- Understanding of and commitment to client satisfaction.

Compensation and benefits
- Competitive base salary between $40,000 and $52,000, with offers based on the candidate’s qualifications.
