About the Role
Hanto + Clarke General Contractors, LLC is hiring an Office Operations Coordinator to support day-to-day office operations and administrative coordination across the team.
This role is responsible for keeping the office organized, supported, and running without disruption. You’ll serve as the first point of contact for visitors, support leadership and team needs, and help ensure a consistently professional environment.
This is a high-execution role requiring strong organization, responsiveness, and follow-through.
Key Responsibilities
- Serve as the first point of contact for visitors, vendors, and incoming calls; maintain a professional and welcoming front-desk experience
- Manage conference room scheduling, visitor logistics, and daily office flow; ensure shared spaces are clean and presentable
- Manage office supplies, kitchen inventory, and ordering; maintain organized physical and digital filing systems
- Coordinate facility needs, maintenance requests, and vendor scheduling to keep the office running without disruption
- Support leadership with scheduling, meeting preparation, and administrative coordination
- Assist with onboarding, employee engagement activities, and communication across office and field teams
- Provide administrative support for HR-related processes
- Plan and execute office events and internal activities, including vendor coordination
- Create the monthly employee newsletter (Canva) and track employee milestones
- Coordinate IT support and user setup, including managing access, submitting tickets, and following through to resolution
What Success Looks Like in the First 90 Days
First 30 Days
- Learn office systems, processes, and team workflows
- Build familiarity with vendors, IT support process, and internal tools
- Take ownership of front desk responsibilities and daily office flow
By 60 Days
- Independently manage day-to-day office operations without disruption
- Maintain organized systems and handle routine administrative and IT coordination tasks
- Support onboarding and internal communication consistently
By 90 Days
- Fully own office operations, ensuring the environment is organized, stocked, and running smoothly
- Anticipate needs, resolve issues proactively, and keep tasks moving without follow-up
- Plan and execute internal events and employee activities effectively
- Serve as a reliable point of support for leadership and the broader team

Qualifications
- 3+ years of experience in an administrative, office coordination, or similar support role required
- Strong organizational skills and attention to detail
- Reliable and accountable with consistent follow-through
- Clear and professional communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proactive and resourceful problem-solving approach
- Experience in an administrative, office coordination, or similar support role preferred
- Comfortable using Microsoft Office, Teams, Canva, and general office systems

- $20.00–$25.00 per hour, based on experience
