Office Operations Assistant Jobs in Corte Madera, CA at Mind Therapy Clinic

We are looking for energetic, upbeat, hard-working operations assistant to join our dynamic team-oriented clinic.

The ideal candidate must have an excellent work ethic, be tech-savvy, be a quick learner, enjoy multitasking and staying organized, be flexible, and understand the importance of a positive, courteous and professional attitude in the workplace. Great attention to detail and clear communication skills are essential. This position requires enhanced customer service and communication skills.

Essential Functions:

Assists in all aspects of office operations including front reception and therapy group area.

Assist in setting up group therapy including room and technology systems.

Monitor and replenish the inventory of supplies and snacks.

Address and respond to office operational questions and issues.

Responds to questions and requests by patients and visitors to the clinic.

Speaks clearly and concisely in person and on the telephone.

Appropriately facilitates and communicates, written or verbal, effectively with patients, psychiatrists, therapists and all levels of team members associated with the organization, as well as outside organizations.

Answers and addresses some calls to the clinic efficiently and professionally.

Interacts with callers creating lasting positive impressions.

Schedules, cancels and confirms existing patient appointments, new patient appointments, and procedure appointments.

Reviews and updates patient information for existing and new patients, including but not limited to demographic information, insurance information, referral information, etc.

Returns voicemails, emails, and responds to inquiries.

Check in patients when required.

Collect and document feedback from patients and visitors.

Conducts oneself and job responsibilities in a professional manner in accordance with the clinic’s mission statement, policies, procedures and values, task specific protocols, and applicable state/federal laws.

Process patient payments and billing.

Assists in other operational and administrative tasks as assigned.

Experience:

Prefer medical front and back office experience.

Performance Requirements: Ability to handle materials weighing up to 25lbs

Knowledge:

Basic knowledge of medical clinic operating policies.

Basic knowledge of computer systems, programs, and spreadsheet applications.

Basic knowledge of appointment scheduling.

Basic knowledge of medical terminology.

Basic knowledge of medical insurances; PPO, HMO, Worker Compensation, and Medicare.

Skills:

Skill in multitasking and prioritizing.

Abilities:

Job Type: Full-time

Pay: $25.00 – $27.00 per hour
