Duties

  • Manage daily office functions, including scheduling, filing, and maintaining confidential information with professionalism and discretion
  • Coordinate dispatching of service requests, ensuring timely and accurate assignment of tasks to field teams or vendors
  • Oversee vendor management, including onboarding, communication, and performance tracking to foster strong partnerships
  • Handle front desk responsibilities such as greeting visitors, managing multi-line phone systems, and maintaining a welcoming environment
  • Utilize software tools like QuickBooks, Microsoft Office (especially spreadsheets), and other financial or scheduling software to manage bookkeeping, payroll, and budgeting tasks
  • Supervise administrative staff and provide training & development opportunities to enhance team performance
  • Maintain accurate records of client interactions, service logs, billing information, and other essential documentation for compliance and reporting purposes
  • Bilingual preferred, but not required

Requirements

  • Proven experience in office management or administrative roles within a professional setting; experience in medical office management or similar environments is a plus
  • Strong proficiency with accounting software (such as QuickBooks), financial software, spreadsheets, and Microsoft Office Suite
  • Demonstrated supervisory experience with the ability to lead teams effectively and manage multiple priorities simultaneously
  • Excellent communication skills—both verbal and written—and exceptional phone etiquette for client interaction
  • Skilled in schedule management, calendar coordination, event planning, and handling confidential information with integrity
  • Familiarity with human resources functions including payroll processing and employee record keeping
  • Ability to adapt quickly to changing priorities while maintaining attention to detail in bookkeeping and clerical tasks
  • Strong organizational skills combined with technical proficiency in office management tools and systems
  • This is a 1099 position
