Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing excellent customer service with professional phone etiquette
  • Oversee office operations by maintaining organized filing systems, data entry, and document proofreading to ensure accuracy and efficiency
  • Handle calendar management and scheduling for team members, including appointment setting and reminders using Google Workspace or Microsoft Office tools
  • Perform bookkeeping tasks utilizing QuickBooks or similar accounting software to track expenses, invoices, and financial transactions
  • Support administrative functions such as filing, copying, scanning, and maintaining office supplies inventory
  • Provide customer support by addressing inquiries promptly and professionally both in person and via phone or email
  • Assist with personal assistant duties when needed, including organizing meetings and managing time-sensitive tasks

Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
  • Excellent computer literacy with the ability to adapt to new systems quickly
  • Previous clerical experience including filing, proofreading, and document management
  • Strong customer service skills with a friendly demeanor and professional phone etiquette
  • Bilingual abilities are a plus for effective communication with diverse clients and team members
  • Experience in bookkeeping or basic accounting practices is highly desirable
  • Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment

Pay: $25.54 – $30.76 per hour
