Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing excellent customer support with professional phone etiquette.
- Oversee administrative functions such as data entry, filing, proofreading documents, and maintaining accurate records using Microsoft Office and Google Workspace tools.
- Coordinate calendar management and scheduling for meetings, appointments, and events while ensuring optimal time management for staff.
- Handle bookkeeping tasks using QuickBooks or similar accounting software to support billing, invoicing, and expense tracking.
- Supervise clerical staff and delegate office management duties to ensure efficient workflow across departments.
- Maintain office supplies inventory, organize filing systems, and ensure the office environment remains organized and professional.
- Provide exceptional customer service at the front desk by addressing inquiries promptly and professionally while supporting medical or dental receptionist duties if needed.
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and computer literacy essential for daily operations.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Strong communication skills in both English and bilingual capabilities to serve diverse client needs.
- Experience with multi-line phone systems, data entry, filing systems, and calendar management is required.
- Knowledge of QuickBooks or bookkeeping experience is highly desirable.
- Prior experience as a receptionist (medical or dental) or personal assistant is a plus; familiarity with phone etiquette and customer support best practices is essential.
