Responsibilities
- Greet visitors and clients warmly at the front desk, ensuring a positive first impression.
- Manage multi-line phone systems, directing calls accurately and professionally while maintaining phone etiquette.
- Perform data entry tasks with high accuracy using computer skills and office management software such as Microsoft Office and Google Workspace.
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents.
- Assist with calendar management and scheduling appointments for team members or executives.
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking.
- Provide general clerical support such as proofreading documents, preparing reports, and handling correspondence.
- Coordinate office supplies inventory and place orders as needed to ensure smooth operations.
- Offer customer support by addressing inquiries promptly and professionally via phone or email.
- Maintain a clean, organized front desk area and ensure all office equipment is functioning properly.
Skills
- Proven experience in office management or administrative roles with strong clerical skills.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Familiarity with QuickBooks for bookkeeping tasks is highly desirable.
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Exceptional phone etiquette skills, including experience with multi-line phone systems and customer service support.
- Bilingual abilities are a plus to assist diverse client needs effectively.
- Attention to detail in proofreading documents and maintaining accurate records.
- Experience working as a receptionist or medical/dental receptionist is advantageous.
- Personal assistant or calendar management experience helps streamline scheduling processes.
