As we continue to grow, we are seeking a reliable and detail-oriented Office Assistant to join our team and help support daily operations in the office.

Duties

  • Manage phone system, directing calls appropriately and taking messages when necessary.
  • Provide excellent customer support by greeting customers and answering inquiries at the front desk.
  • Prepare and send invoices and billing statements
  • Process payments and maintain accurate financial records
  • Assist with scheduling and coordinating appointments
  • Maintain organized filing systems (physical and digital)
  • Support office staff and field teams with administrative tasks
  • Communicate with customers regarding project updates, billing, and service issues
  • Perform other clerical duties as needed

Skills

  • High school diploma or equivalent required
  • Prior office or administrative experience preferred (billing or invoicing a plus)
  • Strong communication and customer service skills
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Ability to multitask and manage time effectively
  • Friendly, professional, and dependable demeanor
  • Knowledge of QuickBooks or similar accounting software is a bonus
