What You'll Do
As an Office Administrator, you will be at the heart of keeping the workplace running smoothly each day. Your role will involve managing everything from coordinating with external vendors for essential services to supporting internal teams through effective communication and reliable administrative assistance.
- Oversee the daily running of the office by ensuring a clean, safe, and efficient work environment for all staff members.
- Liaise thoughtfully with building management, service providers, and vendors to coordinate maintenance, repairs, and timely delivery of office supplies.
- Manage office budgets with care, including handling petty cash and tracking expenses accurately to support financial transparency.
- Coordinate seating arrangements, facilitate smooth office moves, and address facilities requirements as they arise.
- Provide general administrative and clerical support to the leadership team and other departments with professionalism and warmth.
- Handle incoming calls, emails, and correspondence promptly while maintaining a polite and considerate manner at all times.
- Maintain both physical and electronic filing systems so records remain well-organised and easily accessible for colleagues.
- Prepare reports, presentations, and documentation as required to support business needs efficiently.
- Assist with onboarding new employees by preparing welcome packs and maintaining up-to-date employee records when needed.
- Coordinate staff welfare activities, events, celebrations, and support HR with leave tracking along with other basic HR administrative duties.
What You Bring
Your proven background as an Office Administrator or similar role equips you with practical experience managing diverse responsibilities within an office setting.
- At least 3–5 years of experience in office administration or office management roles demonstrates your capability in similar environments.
- Strong organisational skills paired with the ability to multitask effectively ensure you can handle competing priorities without losing focus on details.
- Proficiency in MS Office applications (Word, Excel, PowerPoint) alongside familiarity with basic office IT systems enables you to work efficiently every day.
- Excellent communication skills allow you to interact warmly with colleagues at all levels while maintaining professionalism in all correspondence.
- Outstanding interpersonal abilities help you build positive relationships across teams and external partners alike.
- A self-motivated attitude combined with reliability means you can work independently while remaining responsive to others’ needs.
- Experience supporting HR processes such as onboarding or leave tracking is advantageous but not essential for success in this position.
