<Duties>
- Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Handle incoming calls with excellent phone etiquette, directing inquiries to appropriate departments or personnel
- Manage calendar scheduling, appointment setting, and calendar management for team members using tools like Google Workspace and Microsoft Office
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure document integrity
- Assist with bookkeeping tasks using Quickbooks, True Pro or similar accounting software to support financial record-keeping and invoicing
- Responsible for making Collections and deposit checks
- Support office management activities including supply ordering, inventory tracking, and maintaining a clean, organized workspace
- Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions at all times
- Help with on boarding new staff
- Preferably Spanish speaking​
<Requirements>
- Proven office experience with strong clerical skills including filing, data entry, and document management
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong computer literacy, including familiarity with multi-line phone systems and basic bookkeeping software like QuickBooks
- Bilingual abilities are highly desirable to assist diverse clients and staff members
- Previous experience as a receptionist or medical/dental receptionist is a plus; personal assistant experience is beneficial
- Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities
- Ability to multitask efficiently while maintaining attention to detail in proofreading and data entry tasks
- Strong time management skills to handle multiple responsibilities seamlessly
