The Occupancy Planner/CAFM Data Analyst will be part of a team supporting the supply, capacity, and demand of space within a client’s portfolio. The role includes data integrity of CAD floor plans, managing change requests, project space planning, solution development, project support, client relationship management, project coordination, and site strategy support related to space and occupancy analysis, solution outcomes, and utilization metrics.

Responsibilities include:

Act as the steward of the client’s organization, ensuring meeting hosts and attendees feel welcome and supported.

Serve as the single point of contact for a highly sophisticated client team, handling escalations and issues.

Establish processes and procedures for Meeting & Conference Services to ensure seamless experiences.

Coordinate with internal partners like Janitorial, Facilities Management, AV, Catering, and Reception to address all meeting or event aspects.

Continuously evaluate and implement innovative service delivery improvements.

Oversee Conference Services Coordinators in managing meeting requests, confirming room availability, and gathering meeting details.

Provide coverage during high volume days or when backfills are needed.

Maintain knowledge of rooms, configurations, technology, and amenities; recommend solutions based on user needs.

Establish escalation protocols and understand cross-functional team responsibilities.

Address employee questions, concerns, and suggestions, with follow-up as needed.

Provide ‘White Glove’ service to executives and stakeholders, ensuring prompt follow-up.

Proactively report repairs and maintenance issues to prevent user impact.

Support offsite special events as needed.

Experience and

Education:

Minimum 5 years of related experience in conference services, events, real estate services, or hospitality. College degree required.

Work Environment:

Professional office setting with standard office equipment. May require travel between properties and outdoor conditions.

Physical Demands:

Travel between floors and properties, prolonged sitting or standing, and operation of office machinery.
