This is a leadership-level operations role at the center of everything THSL does. You’ll own master scheduling and real-time coverage across our SLS, ILS, and CFS programs, manage documentation and compliance systems, coordinate data tracking and reporting, support staff training and onboarding, and contribute to marketing and outreach efforts. You’ll also do what every THSL leader does: show up for clients and for the team when it matters most.

What You’ll Own

Scheduling & Staffing

  • Own the master schedule for all direct support staff across SLS, ILS, and CFS programs
  • Ensure 100% client coverage — anticipating gaps, managing call-offs, and resolving emergencies in real time
  • Approve PTO, shift swaps, and schedule changes with coverage and client safety always as the first priority
  • Monitor overtime, coverage risks, and staffing imbalances and bring solutions to leadership

Documentation, Records & Compliance

  • Maintain client records, compliance binders, and electronic files in audit-ready condition
  • Track progress notes, MARs, SIRs, assessments, and IPP documentation for completion and accuracy
  • Manage agency databases, generate reports, and conduct data quality checks
  • Support QA reviews, audits, and utilization reviews across all programs

Office, IT & Administrative Operations

  • Run daily office operations — supplies, vendors, facilities, and front-office functions
  • Serve as the first-line IT coordinator for basic support needs and external vendor escalation
  • Support leadership with reporting, summaries, dashboards, and internal communications

Staff Training & Support

  • Support new staff onboarding logistics, system access, and scheduling orientation
  • Coordinate internal trainings, staff meetings, and in-services
  • Provide staff guidance on scheduling protocols, documentation standards, and administrative processes

Marketing & Brand Support

  • Maintain a basic marketing calendar for hiring, outreach, and brand visibility
  • Create and schedule social media content — program highlights, staff spotlights, community updates
  • Assist with flyers, brochures, slide decks, and recruitment materials using approved templates

Leadership Team Expectations

This is a leadership role, and THSL leaders share responsibility. That means:

  • Rotating after-hours on-call coverage with the leadership team for urgent staffing and client situations
  • Stepping in to provide operational and field support when all routine staffing options have been exhausted
  • Showing up for clients and for each other — because that’s how we operate

What We’re Looking For

Required:

  • Valid California driver’s license and reliable transportation
  • Availability for shared after-hours on-call rotation as part of the leadership team
  • Willingness to provide operational and field support coverage when staffing gaps require it
  • 3–5+ years of progressive administrative experience, including significant staffing or scheduling responsibility in healthcare, social services, or a 24/7 multi-site environment
  • Demonstrated experience with scheduling systems, databases, spreadsheets, and office technology
  • Strong organizational skills, sound judgment, and calm under pressure

Preferred:

  • Experience in SLS, ILS, CFS, or similar community-based programs
  • Familiarity with Regional Center systems and Title 17 compliance
  • Bachelor’s degree in a related field or equivalent experience
  • Bilingual in English and Spanish or another threshold language — strongly preferred
